What are the responsibilities and job description for the Chief of Staff position at Heatseeker?
Chief of Staff to the Founders
Hydbrid - West Coast US based - Sydney working hours
Full-time
We’re Heatseeker — building the category-defining market experiments platform. We help enterprise teams make faster, smarter decisions by testing what real customers actually respond to.
We’re looking for a smart, ambitious Chief of Staff to work directly with our founding team and multiply their impact. You’ll help us run smoother, move faster, and stay focused on the highest-leverage work — by owning calendars, setting up systems, driving follow-through, and taking on special projects that keep us scaling.
This is an incredible opportunity for a recent grad or early-career operator to work at the centre of a high-growth SaaS startup. You’ll get a front-row seat to strategy, ops, growth, fundraising, and product — and you’ll help shape how it all comes together.
Make the founders more effective
• Manage calendars, meetings, inboxes, and logistics
• Prep agendas and decks for internal and external meetings
• Keep action items moving — and make sure nothing slips through the cracks
• Anticipate needs and reduce friction across the week
Build and run systems
• Maintain and improve internal tools like Notion, Slack, HubSpot, and Google Drive
• Set up workflows, trackers, and dashboards to keep projects visible and on track
• Automate or delegate low-leverage tasks so everyone’s working on the right things
• Bring a “how do we do this better next time” mindset to everything
Support strategic projects
• Own one-off or recurring projects across product, ops, customer success, or growth
• Create simple, sharp comms and docs to support internal decision-making
• Help with hiring, onboarding, and team culture initiatives
Coordinate events and external comms
• Support speaking opportunities, media, partnerships, and investor meetings
• Manage logistics for travel, events, and offsites
• Help write and prep materials for key external moments
• Are a recent grad or early-career professional with strong organisational and communication skills
• Are tech-savvy — quick to learn new tools, and keen to automate, streamline and improve systems
• Have a bias for action and a good radar for what needs doing
• Are comfortable managing up and across — and aren’t afraid to ask questions
• Write clearly, think logically, and love being the person others rely on
• Are discreet and trustworthy — you’ll be across a lot
You don’t need to have done this role before. You just need to be sharp, proactive, and excited to learn. You’ll be working shoulder-to-shoulder with three experienced founders and surrounded by smart, curious people who’ll help you level up fast.
