This role is fully onsite and based in Bardstown, Kentucky at the Heaven Hill Bourbon Experience.
What the Role Is
TheVisitor Experience Event Manager will be responsible for developing, organizing, and executing all aspects of special events including generating excitement, brand awareness, and increasing sales by hosting special events in Kentucky. The Event Manager will be responsible for directly supervising and coordinating the work activities of Heaven Hill Bourbon Experience employees during event preparation and implementation. This position will directly plan, promote, and execute events at Heaven Hill Bourbon Experience and Heaven Hill Springs Distillery. The Visitor Experience Event Manager will also lend supervisory support to the Event Coordinator at Evan Williams Bourbon Experience.

How You Will Spend Your Time?
- Organize and execute the set-up of events in all areas of the Heaven Hill Bourbon Experience, and Heaven Hill Springs Distillery
- Oversee the operations of all special event bars, including but not limited to :
Communicating supply orders and reporting inventory to Customer Success Manager
Properly staffing for event needsEnforcing Food and Alcohol Safety standardsEnsuring proper cash-handling and point-of-sale proceduresSupervise necessary setup and breakdown of bar / s for each eventExecute specific drink selections chosen by Event ClientAccommodate any day-of changes or upgrades for Event ClientsMaintain all glassware, bar tools, and stock of needed suppliesControl Alcohol InventoryStock all fresh fruit, garnishes, mixers, and other perishable suppliesStock needed cleaning productsTrain new bartendersWrite contracts for events per the needs and requirements of the client, and within our company guidelines, maintaining detailed and accurate notes during this process to ensure the team can perform the event as desired, delivering a positive visitor experienceMeet regularly with management team to review upcoming events, communicate department needs, and review past eventsAccurate reporting of onsite Event ROIs to the General ManagerLiaise with in-house restaurant and outside catering companies prior to and during eventsEnsure kitchens and holding areas are maintained in expected conditions prior to eventsBe available as client liaison during eventsCollect and file payments for events and toursSchedule and host site visits for potential and returning clientsSchedule and coordinate all events through shared staff calendars; Keep managers updated of event schedule to coordinate operations and activities within or between departmentsProvide directions and other pertinent information to visitorsMonitor visitors' activities to ensure compliance with establishment or tour regulations and safety practicesSupervise all procedures for Bourbon Educators, Retail, and Barkeepers before, during and after eventsEffectively cross-train across multiple functions, including but not limited to, Bourbon Educator, Retail, Ticketing, Barkeep, Event BartenderProvide supervisory guidance to Evan Williams Bourbon Experience Event CoordinatorAssist with evening events when requiredAll other duties as assignedWho You Are...
Bachelor's Degree in Hospitality, Tourism, Business or related field, or may substitute for equivalent work experienceMinimum 3 years of event planning / management experience, preferably in a tourism / hospitality settingKnowledge of principles and processes for providing customer service.Excellent oral communication skills with the ability to talk to others to convey information effectivelyExcellent decision-making skills, intuitive and proactive, with the ability to influence othersCreative thinkerFriendly, knowledgeable and represent guests professionallyKnowledge of technology including use of barcode scanners, computerized cash registers, credit card readers, and point of sale softwareBasic knowledge of Microsoft Office software including Excel and OutlookAbility to work in a team and be a self-starterAbility to work evenings and weekendsValued but not Required Skills and Experience :
Previous experience in distilled spirits industryFamiliarity with bourbon knowledge and languagePhysical Requirements
