What are the responsibilities and job description for the Administrator position at Heidelberg Distributing Company?
Balances delivery loads, verifies sales and deposits for the day and sends all corresponding information to accounting and banking institutions.
Essential Duties and Responsibilities & Expectations
- Reconciles all driver invoices properly according to their terms of payment.
- Verify that all payments balance with the loads.
- Verify that the total credits / payments balance the total daily sales.
- Run all daily End of Day reporting.
- Scan checks for deposit and transmission to banking institution.
- Verify deposits into cash safes with end of day reporting.
- Maintain electronic copies of delivery invoices by load in OnBase system.
- Maintain and Collect all overs and shortages for accounts and drivers from delivery loads.
- Run Misc. Debits and Credits report to verify for proper processing of Pick Up Requests.
- Run AGEING and / or DUELIST report and maintain collections.
- Maintain and collect and Accounts Receivable account and/or Chains assigned.

This position may constitute a “key employee” position under the Family and Medical Leave Act.
Working Conditions & Dress Code
This position operates in a professional office environment, and may include regular travel and on-site work in a warehouse environment. Expected hours of work are Monday through Friday during the Company’s regular business hours. Regular, consistent attendance is required. Dress code is business casual, closed-toe shoes recommended.
