Job Overview
We are seeking a highly organized and professional Receptionist/Secretary to join our team. This role is essential in providing excellent customer service and administrative support to ensure the smooth operation of our office. Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression of the company.
- Answer phone calls promptly, demonstrating excellent phone etiquette while directing inquiries to the appropriate personnel.
- Perform data entry tasks accurately and efficiently, maintaining up-to-date records and files.
- Assist with customer support by addressing inquiries and resolving issues in a timely manner.
- Manage scheduling, appointments, and part orders for staff/customers, as needed.
- Maintain organized filing systems for both physical and electronic documents.
- Provide clerical support including typing, copying, and scanning documents as required.
- Collaborate with other administrative staff to ensure seamless office operations.
Requirements
- Proven experience in a receptionist or administrative role is preferred.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent customer service skills with a friendly demeanor.
- Proficiency in computer applications including word processing and spreadsheet software. Prefer prior Quickbooks experience.
- Familiarity with data entry processes and maintaining accurate records.
- Ability to handle confidential information discreetly.
- Strong communication skills, both verbal and written, are essential.
- Experience as a personal assistant or in a clerical role is a plus.
- Reliable attendance, positive attitude, & willingness to learn and adapt are a must.
