Job Summary :

We are seeking a highly organized and detail-oriented Office Manager to oversee the daily administrative and operational functions of our retail floor covering store. The ideal candidate will be a proactive problem-solver with excellent communication and interpersonal skills, capable of managing multiple tasks efficiently. This role is crucial in ensuring smooth operations and contributing to the overall success of the store.

Responsibilities :

  • Administrative Management :
  • Manage all incoming and outgoing communications, including phone calls, emails, and mail.
  • Maintain accurate and organized filing systems (both physical and digital).
  • Order and maintain office supplies and inventory.
  • Schedule and coordinate appointments and meetings.
  • Prepare and process invoices, purchase orders, and other financial documents.
  • Handle customer inquiries and resolve issues promptly and professionally.
  • Financial Management :
  • Process customer payments and refunds.
  • Maintain accurate records of sales and expenses.
  • Assist with monthly and annual financial reporting.
  • Customer Service :
  • Provide exceptional customer service both in person and over the phone.
  • Address customer concerns and resolve complaints effectively.
  • Maintain a positive and professional demeanor at all times.
  • Assist sales staff with customer order management.
  • Operational Support :
  • Assist in coordinatin with installation teams and schedule installations.
  • Maintain and update product catalogs and pricing information.
  • Ensure the store's appearance is clean and organized.
  • Assist with inventory management and stock control.
  • Assist in the onboarding process of new employees.
  • Human Resources Support :
  • Maintain employee records.
  • Assist with payroll processing.
  • Assist with employee scheduling.
  • Other Duties :
  • Perform other duties as assigned by the Store Manager.

Qualifications :

  • Proven experience as an Office Manager or in a similar administrative role, preferably in a retail environment.
  • Strong organizational and time-management skills with the ability to prioritize tasks effectively.
  • Excellent communication and interpersonal skills.1
  • Proficiency in Microsoft Office2 Suite (Word, Excel, Outlook).
  • Experience with Quickbooks and basic accounting principles.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Customer-focused with a positive attitude.
  • High School diploma or equivalent required, Associates or Bachelors degree preferred.
  • Experience in the flooring or construction industry is a plus.
