Position Summary
The Administrative Specialist primarily performs administrative support and team coordination tasks under general supervision. They support a team within the organization by coordinating calendars, scheduling meetings, organizing events, and managing the team budget, and may also provide project/program support as needed.
Essential Job Functions & Accountabilities
Administrative Support
Provides administrative support for a team which includes distributing mail, filing documents, ordering supplies, managing inventory, scanning documents, etc.
Reviews and answers correspondence.
Conducts research, prepares statistical reports and spreadsheets, and prepares presentations.
If working in a national office, performs additional office support activities.
Other duties as assigned.
Team Coordination
Coordinates calendars and schedules team meetings and employee reviews/touchpoints.
Organizes and promotes team events such as Give Backs and celebrations.
Assists with onboarding activities for new hires.
Manages and records team budgets and expenditures.
Assists with team expense reports.
Coordinates team travel.
Acts as team liaison to other members of management.
Program/Project Coordination
Assists the project/program manager to coordinate aspects of projects as needed.

Required Education, Experience, Licenses & Technical Competencies
High School Diploma or General Education Degree (GED) required
Associate or bachelor’s degree preferred
1 year relevant experience required
Previous office experience preferred
Proficient in Microsoft Office, Software, including PowerPoint, Word, Excel and Outlook
Ability to work with PC/Windows, iPads, and Dropbox
Excellent computer and typing skills
Must demonstrate proficiency in all core competencies as described and characterized in this job description
Physical & Other Requirements
Prolonged periods of sitting or standing at a desk and working on a computer.
Ability to read, write and communicate in English.
