Title: Bailiff

FLSA Status: Non-exempt

Department: Hendricks Count Superior Court 1

 

Purpose of Position: Responsible for the orderly and professional running of the courtroom and assists in the general operation of the Court

 

Essential Functions:

  • Maintains and manages the Court’s calendar
  • Serves as the primary liaison to attorneys, self-represented litigants, judges, or other local officials, providing information relating to court hearings and charges
  • Prepares courtroom for hearings, including any specialized equipment needed by the parties. Ensures that all doors to the courtroom, office, and jury room are unlocked and locked properly each day. Secures courtroom in emergencies
  • Assists the Judge as necessary with technology and coordination with parties for remote or hybrid hearings
  • Prepares and mails juror summons and special questionnaires, if necessary
  • Responds to questions from prospective jurors regarding deferrals and exemptions from jury service
  • Responsible for the security, care, and control of the jury during jury trial
  • Arranges for interpreters for deaf and non-English speaking parties and witnesses
  • Responsible for checking in litigants and attorneys before hearings
  • Observes individuals in courtroom and waiting area noting their attitudes, mood changes, body language, and general demeanor. Thinks independently to assess and adapt to rapidly changing situations. Intervenes with individuals who may be angry, irrational, and emotionally distressed. Diffuses the hostile situation. Alerts and involves courthouse security and/or Transport as needed 
  • Provides clerical support to the Judge as requested, including contacting attorneys on specific matters, setting up conference calls, and drafting orders and documents for the Judge's review and signature
  • Prepares and/or distributes necessary paperwork during court sessions: date slips, fines and costs, plea agreements, probation orders, community service forms, civil orders, exhibits, etc.
  • Responds to inquiries, complaints, and concerns as they arise as well as general inquiries from the media. Answers questions concerning the general operation of the Court and directs attorneys and members of the public to the appropriate location
  • Uses the case management system for a variety of functions, including tracking and entering data on cases, processing Court orders and other documents, calendaring cases set for hearings or trials, and running periodic reports
  • Complies with the applicable provisions of the Indiana Code of Judicial Conduct

 Non-Essential Functions:

·         Answers telephones

·         Performs other duties as assigned

·         Backs up other staff in the office as necessary

 

Education & Qualification Requirements:

·         High school diploma or GED

·         Proficient with Microsoft Office applications

·         Excellent time management

·         Ability to deal with other people effectively and tactfully

·         Ability to operate basic office equipment

·         Good organizational skills

·         Ability to communicate well, both verbally and in writing

·         Attention to detail

·         Ability to work independently

 

Responsibility:

Incumbent works under established guidelines and procedures. Errors in work usually result in loss of time to the department and inconvenience to parties

 

Working Relationships:

Working relationships include the members of the local judiciary; fellow court employees; attorneys; self-represented litigants; members of the public; and members of other county departments, including, but not limited to, the Prosecutor’s Office, the Chief Public Defender, the Probation Department, the Sheriff’s Department, Work Release, and the Clerk’s Office
