JOB DESCRIPTION:
To provide part-time support to the Paralegals and the Client Service Coordinator. Your support will encompass various tasks, including managing daily mail, the client document process, ensuring an exceptional client experience and handling general administrative office responsibilities.
RESPONSIBILITIES:
Office Responsibilities:
· Manage daily mail, open, scan, send daily internal email, save documents to client folders and assign next tasks in the client management file system.
· Prepare outgoing mail consisting of proposals for engagements as well as draft documents prepared by attorneys and paralegals.
· Assist with ongoing communications with clients by email and phone.
· Prepare estate planning files for signings. Each week we have four to five clients signing their final estate planning documents and each document needs to be updated with the appropriate witness and notary name, signing date, printed on bond paper, and signature locations flagged.
· Prepare meeting folders with relevant meeting documents for the attorneys.
· Prepare binders with signed estate planning files. Following signings, each estate planning file needs to be scanned and binder created and then mailed out to the client.
· As time allows, the position would also include:
o Assisting the client service representative in making follow up calls and sending out mailed reminders.
o Preparing initial drafts of estate planning documents to assist the paralegals.
QUALIFICATIONS:
· 1 year of working in a law firm setting (preferred).
· Experience with estate planning terminology (preferred).
· Experience with Microsoft Outlook, Word and Excel as well as ability to learn our Client Management System (Clio Manage and Clio Grow).
· Ability to understand and follow existing systems and workflows.
· Willingness to learn, lead, and express concerns constructively.
· A sense of purpose, finding personal satisfaction in impactful work.

· Strong organizational and communication skills.
