Responsible for monitoring and for supporting an un-interrupted flow of goods and services through cooperation with Production and Warehouse/Shipping Teams. Assisting the Purchasing Manager with monitoring workflow from initiation to completion for both purchased orders and deliveries. Assist with accurately tracking and reporting key functional metrics and anticipate unfavorable events through data analysis to prepare control strategies. A strong focus on detail orientation, a strong sense of urgency, and a balance of priorities will be key to operating successfully in the role. This role will require maintaining high levels of accuracy in day-to-day operations and provide exceptional service to both our internal and external partners. - Learn order flow and processes within department.
- Understand how material and supplies are tracked and reported.
- Monitor timely ordering and delivery of needed goods and services.
- Accurately track and report key functional metrics to Purchasing Manager.
- Develop a working knowledge of all product lines and all organizational policies and procedures.
- Working knowledge of all related software, spreadsheets and programs used by the Purchasing Team.
- Encourage and ensure team performance in communication, time management, and accuracy by assisting Purchasing Manager in establishing and enforcing organization standards and driving team accountability.
- Monitor workflow from initiation to completion for both purchased orders and deliveries
- Resolves personnel opportunities by analyzing data; investigating issues; identifying solutions; recommending action.
- Identifying areas of improvement.
- Actively participate in process improvement activities with Purchasing Manager by analyzing operating practices, record-keeping systems, forms of control, and any budgetary or personnel requirements.
- Assist Purchasing Manager with predicting trends and alterations in the negotiating ability of suppliers and clients.
- Monitor data to determine the need for, and timely placement of purchase orders for production materials and services at agreed to cost.
- Review open purchase orders and follow up with suppliers to ensure on time delivery, pricing accuracy and communicate expedite needs as they arise.
- Maintain regular purchasing data and communication for such data. Create and maintain spreadsheets as needed for data collection.
- Work with purchasing manager and staff to discuss defective or unacceptable goods or services and determine corrective action.
- Overseas Outsourcing coordination.
- Assist with determining optimal stock/inventory levels and requirements.
- Collaborate with Warehouse staff to align inventory levels.
- Other tasks and projects as assigned.
- Bachelor’s Degree preferred.
- 1-2 years of prior supervisory experience in Supply Chain preferred.
- Demonstrated strong leadership skills.
- Proven success to effectively communicate (listening, writing and verbal) across all levels of an organization.
- Intermediate to Advanced skills with Microsoft Office and learning new systems/technology with understanding some work is processed manually
- Outstanding decision-making skills and ability to work well with numbers.
- Experience in collecting and analyzing data.
- Well organized and detail oriented.
- A strong sense of urgency and desire to exceed customer expectations.
- Ability to maintain a positive attitude in a fast-paced environment
- Lifting, carrying, sitting, grasping, reaching, standing, kneeling, walking, bending, twisting.
- Reading, communication, simple math.
- Be able to regularly lift/move up to 50lbs.
- Sit at a computer for extended periods of time.
- Noise level in the work environment is usually moderate.
