What are the responsibilities and job description for the HR Assistant/Administrative Assistant position at HERITAGE CONVALESCENT CENTER?
KNOWLEDGE BASE:
· Excellent phone skills.
· Ability to handle a multi-line telephone system including transfers to voice mail.
· Ability to take messages accurately and direct calls to the appropriate department.
· Maintain a professional demeanor and appearance at all times.
· New Employee Orientation and new hire paperwork
· Ability to sort and distribute incoming mail.
· Ability to send packages and mail via Fed Ex, US Postal Service, Airborne, Certified Mail, etc.
· Ability to use internet and email systems as needed.
· Working knowledge of computers, ten key and other office machines.
· Assist administrator with delegated tasks
· Escort visitors to their destination
· Direct traffic and handle any minor issues or concerns that are brought up
· Proficiency in word processing, spread sheets and other related computer programs.
· Ability to deal effectively with residents, the public and co-workers.
· Ability to organize, prioritize and work within deadlines.
· Ability to perform work tasks within the physical demand requirements as outlined below.
· Genuine caring for and interest in elderly and handicapped people.
· Ability to comply with the Patients Bill of Rights and the Employee Responsibilities.
· Ability to comply with the company’s and departmental safety policies and procedures.
· Responsible for completing pre employment checks.
· Responsible for answering and directing all incoming calls and voicemails.
· Responsible for keeping the office copy machines and fax machines full of paper and replacing
toner and drums as needed. Sort incoming mail and faxes.
· Make sure all outgoing mail, fazes and special mail pieces including Fed Ex, certified mail and
other items are processed promptly.
· Assist with maintenance and compliance of personnel files as directed.
· Assist with maintenance and compliance of I-9 files as directed.
· Filing as directed.
