Position: Volunteer and Community Outreach Coordinator
Salary: $17 Hourly, Part Time 24 hours a week
Reports to: Amber Nix, Executive Director
About The Hermitage
The Hermitage No Kill Cat Shelter and Sanctuary has been a refuge for homeless cats and kittens since 1965. We are both an adoption facility and long-term sanctuary.
Scope of Position: The Volunteer Coordinator plays a vital role in supporting the mission of The Hermitage No-Kill Cat Shelter and Sanctuary by managing and nurturing our community of volunteers. This position is responsible for recruiting, onboarding, training, and scheduling volunteers to ensure our cats receive the highest standard of care and our shelter operates smoothly. The Volunteer Coordinator also maintains accurate and updated volunteer records, manages the volunteer database, and oversees volunteer time clocks and qualifications to support an efficient and dedicated volunteer program. Key Responsibilities:
· Volunteer Recruitment and Application Processing
o Actively recruit volunteers through community outreach, online platforms, and local events.
o Review and process volunteer applications, conducting initial screenings to ensure candidates meet the shelter’s needs and standards.
o Organize and participate in interviews to assess skills, interests, and availability.
· Onboarding and Training
o Facilitate orientation sessions and coordinate initial training for all new volunteers.
o Provide ongoing training opportunities to maintain a high level of competency and safety among all volunteers.
o Develop, maintain, and update training materials to ensure consistency and clarity.
· Scheduling and Daily Coordination
o Create and manage volunteer schedules to ensure adequate coverage for shelter operations.
o Handle last-minute changes, substitutions, and communicate shift updates as needed.
o Serve as the primary point of contact for volunteer questions, concerns, and requests.
· Volunteer Conduct and Discipline
o Monitor volunteer performance and behavior, ensuring all volunteers adhere to shelter policies, safety protocols, and core values.
o Address conduct issues in a fair and timely manner, providing guidance and additional training if necessary.
o Document and communicate disciplinary actions as required, including warnings or, when necessary, termination of volunteer roles.
· Volunteer Recognition and Retention
o Develop and implement a volunteer recognition program to celebrate and acknowledge the hard work and dedication of volunteers.
o Plan appreciation events, distribute awards, and coordinate other incentives to show gratitude for volunteers’ efforts.
o Regularly gather feedback from volunteers to enhance the volunteer experience and improve retention.
· Database and Timekeeping Management
o Maintain accurate and up-to-date volunteer records in the volunteer database, including contact information and qualifications.
o Regularly update each volunteer’s file with their certifications, training status, and any special skills relevant to their role.
o Monitor and manage volunteer time clocks, ensuring hours are recorded accurately for tracking purposes.
· Volunteer Engagement and Communications
o Manage and moderate the volunteer Facebook group, creating a welcoming and engaging environment where volunteers can connect, share updates, and stay informed about shelter activities.
o Post regular updates, motivational content, and important announcements to encourage volunteer participation and strengthen community engagement.
· Additional Duties
o Provide support with cat care, cleaning, and other shelter operations as needed, especially during periods of volunteer shortage.
o Assist in other operational tasks, such as inventory management, organizing supplies, and helping with shelter events when required.
Qualifications/Educational Background
- Excellent oral and written communication and interpersonal skills.
· Knowledge of volunteer management.
· Proficient with Microsoft Word, Power Point and Excel.
· Familiarity with Better Impact (or similar software).
· Professional, high energy, outgoing team player.
· Ability to think critically and take initiative.
