Hernando Animal Clinic and Surgery Center is seeking an experienced and compassionate Veterinary Receptionist to join our team. Key Responsibilities
Client Relations:
- Greet clients and their pets with warmth, compassion, and professionalism, both in person and over the phone.
- Schedule appointments, confirm appointments, and follow up with clients regarding their pets' care.
- Address client questions, concerns, and requests, providing accurate information on services, treatments, and procedures.
- Answer phone calls, check voicemails, and assist with messages in a timely manner.
- Maintain client records in the electronic medical record (EMR) system, ensuring all information is up to date and accurate.
- Process client payments and provide receipts for services rendered.
- Assist in managing inventory and ordering supplies when necessary.
- Coordinate appointments, including consultations, surgeries, and routine care, ensuring proper timing and adequate resources.
- Confirm upcoming appointments and send reminders to clients via phone, email, or text.
- Communicate effectively with veterinarians, technicians, and other support staff to ensure seamless patient care.
- Assist with client check-ins, check-outs, and other operational duties as needed.
- Provide clients with post-care instructions, medication details, and general pet care advice.
- Ensure clients understand follow-up requirements for treatments and appointments.
- Maintain a clean, organized reception area.
- Assist with light clerical duties including filing, photocopying, and faxing.
- Support the clinic's upcoming transition to a brand new location, assisting with the setup, organization, and ensuring a smooth move for both clients and staff.
Required Qualifications:
- Previous experience working as a receptionist, preferably in a veterinary or healthcare setting.
- Strong customer service skills and a compassionate, client-oriented demeanor.
- Excellent communication skills, both verbal and written.
- Ability to multitask, stay organized, and prioritize tasks in a fast-paced environment.
- Basic proficiency with office software and phone systems.
- Ability to handle sensitive client and patient information confidentially and professionally.
- Must be able to work well independently and as part of a team.
- Ability to manage stressful situations with patience and empathy.
- Prior experience in a veterinary clinic, animal hospital, or healthcare setting is highly preferred.
- Familiarity with veterinary terminology and basic pet care.
- Proficiency with veterinary management software (e.g., AVImark, Cornerstone, or similar) is a plus.
- Bilingual (English/Spanish) is a plus.
- High school diploma or equivalent required.
- Some college coursework or formal training in customer service, business administration, or related fields is a plus.
- Certification in veterinary reception or similar programs is desirable, but not required.
