Position: Sales Administrator (new equipment sales and after sales spares)
We are seeking a detail-oriented and organized Sales Administrator to support our sales team in achieving their goals and maintaining efficient sales operations. The ideal candidate will possess excellent communication skills, a strong attention to detail, and the ability to work collaboratively in a fast-paced environment. As a Sales Administrator, you will play a crucial role in ensuring the smooth execution of sales processes and providing essential administrative support to the sales team.
Key Responsibilities
Order Processing of all new equipment sales: Manage the end-to-end order processing cycle, including order entry, verification, and coordination with relevant departments for timely and accurate order fulfillment.
Trade shows and exhibitions: Responsible for ensuring that Herzog can attend these events, by early registration, arranging logistics of exhibition equipment, booking flights and accommodation. Recovery of exhibition equipment after the event.
User days and customer visits: Support these events by managing communication to customers, communicate detailed arrangements, prepare facilities and support with hosting.
Sales Support: Assist the sales team with tasks such as preparing quotes, proposals, and sales presentations, and provide information on product pricing, availability, and specifications.
Customer Communication: Serve as a point of contact for customer inquiries, providing exceptional customer service by addressing questions, resolving issues, and ensuring timely follow-up.
Database Management: Maintain and update customer and sales-related databases, ensuring data accuracy and completeness for reporting and analysis purposes.
Documentation: Prepare and maintain sales documents, contracts, and agreements, ensuring they are properly filed and easily accessible.
Sales Reporting: Generate regular sales reports, track sales metrics, and provide insights to the sales team and management regarding sales performance and trends.
Process Improvement: Identify opportunities for process optimization and efficiency improvements within the sales administration function.
Inventory Coordination: This role will have a cross function with the spares department, filling in when there is a rush of activity or personnel on vacation. This role will include collaboration with inventory and logistics teams to monitor stock levels, track inventory movements, and ensure alignment with sales activities.
Qualifications
High school diploma or equivalent.
Proven experience (3-5 years) in a sales administration or administrative support role.
Proficiency in using office productivity software (e.g., Microsoft Office Suite, Google Workspace).
Strong organizational skills with the ability to manage multiple tasks and priorities simultaneously.
Excellent communication skills, both written and verbal, with a customer-focused approach.
Detail-oriented mindset and high level of accuracy in data entry and documentation.
Familiarity with CRM systems and sales-related databases is preferred.
Ability to work collaboratively as part of a team and independently when necessary.
Problem-solving skills and a proactive attitude towards challenges.
