Job Summary:

The Elite Planner will facilitate the efficient operation of all events on behalf of the foundation.

We are dedicated to crafting extraordinary journeys and exclusive events tailored to the unique preferences of our discerning clientele. We are seeking an exceptional Elite Planner to join our dynamic team.

 

Job Overview:

As an Elite Planner, you will be responsible for designing and executing high-end itineraries and other events for all our VIP guests. This role requires a blend of creativity, meticulous attention to detail, and an extensive network of contacts within the travel and hospitality industries. You will work closely with the foundation leadership team to understand their needs, anticipate their desires, and deliver unparalleled experiences that exceed expectations.

 

Key Responsibilities:

1. Consultation and Relationship Management:

  - Engage with lead management on event to assess overall scope of event, travel preferences, goals, and special requirements.

  - Provide expert advice and personalized recommendations based on client needs and interests.

  - Build and maintain strong, trust-based relationships.

  - Lead and manage event support staff.

 

2. Travel Itinerary Design and Coordination:

  - Craft  travel itineraries that include accommodations, transportation, activities, and dining.

  - Coordinate with hotels, private transportation providers, and exclusive venues to secure reservations and services.

  - Ensure all travel arrangements align with preferences and schedules.

 

3. Event Planning and Execution:

  - Plan and manage high-profile events and experiences, including training events, corporate retreats, and VIP gatherings and other key events.

  - Oversee all aspects of event logistics, including venue selection, catering, entertainment, and on-site coordination to include management of a support team.

  - Ensure seamless execution of events, handling any issues that arise with professionalism and discretion.

 

4. Research and Vendor Management:

  - Stay informed about the latest trends and developments in travel and high-end events.

  - Develop and maintain a network of trusted vendors and service providers.

  - Negotiate contracts and secure exclusive rates or benefits for clients.

 

5. Budget Management:

  - Create detailed budgets for event planning, ensuring cost-effectiveness while maintaining high standards of quality.

  - Monitor expenses and provide regular updates.

 

6. Problem Solving and Crisis Management:

  - Anticipate and address potential issues before they affect the experience.

  - Manage any crises or changes to the plan with efficiency and a calm demeanor.

 

Qualifications:

- Proven experience in travel and onsite planning and high-end event management.

- Exceptional organizational skills and the ability to manage multiple projects simultaneously.

- Strong interpersonal and communication skills, with a talent for building relationships with all types of guests including high-net-worth clients.

- In-depth knowledge of global travel destinations, accommodations, and exclusive experiences.

- Proficiency in travel management software and other booking software systems.

- Ability to work flexible hours, including evenings and weekends, as needed.

- Ability to lift – up to 10 pounds at times

- Maintain prolonged periods of being on feet for duration of events
