Job Description

As the Prospect House Client Coordinator, you will play a vital role as the primary point of contact for clients and vendors at Prospect House. Your exceptional organizational and interpersonal skills will ensure clients have an outstanding experience, from contract signing to the day of their event. In addition, you will provide support to both Prospect House and The Addison Grove as a Sales Administrator, assisting the Venue Sales Manager with lead and tour follow-ups, scheduling, and other sales-related tasks. You will also serve as backup support for client tours at both locations when needed, ensuring seamless communication and an exceptional client experience.

ResponsibilitiesEvent Coordination and Client Support (Focus on Prospect House):
  • Uphold the highest standards of customer service for clients and vendors.
  • Serve as the main point of contact for clients at Prospect House once their contract is signed, providing timely and comprehensive information via phone and email.
  • Schedule and conduct client final walkthroughs and rehearsals to address all event details.
  • Maintain accurate client event details, facilitating a smooth handover to the day-of event team.
  • Collaborate with each client’s chosen vendors as needed to ensure smooth event planning and execution.
  • Accurately post client payments to invoices, ensuring precise record-keeping and financial transactions.
Sales Administration (Support for Prospect House and The Addison Grove):
  • Assist the Venue Sales Manager with lead and tour follow-ups, ensuring timely and professional communication.
  • Help schedule client appointments and tours.
  • Support the sales team in administrative tasks related to booking and client inquiries.
Client Satisfaction and Reputation Management:
  • Take the lead in cultivating 5-star client reviews, ensuring a positive and memorable experience for every client.
  • Monitor external client reviews on platforms like Google and respond to reviews in a timely and professional manner.

Team Collaboration:


  • Work closely with the Venue Sales Director, In-House Planning, and Native Bloom Floral to identify potential clients for Floral and Venue upgrade products and services.
  • Participate in venue-hosted special events as a representative of Heyens Hospitality.
  • Serve as backup for client tours at both Prospect House and The Addison Grove as needed, ensuring a seamless experience for potential clients when the Venue Sales Manager is unavailable.
Qualifications
  • Strong interpersonal and communication skills.
  • Detail-oriented with excellent organizational abilities.
  • Ability to collaborate effectively with various teams and departments.
  • Proactive problem-solving skills to address client needs promptly.
  • Previous experience in a customer service role, with a demonstrated ability to manage client relationships with professionalism and thoughtfulness.
  • Previous experience in event coordination is a plus!
  • Ability to work on-site at one of our two Austin locations five days per week.


Salary : $55,000 - $65,000
