PRIMARY FUNCTIONS :

The Executive Assistant & Project Coordinator provides high-level administrative support to senior leadership while assisting with key projects and operational initiatives. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities efficiently. The ideal candidate is a proactive problem-solver who can anticipate executive needs, handle confidential information with discretion, and support day-to-day business operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES :

Executive Support & Administration

  • Manage the executive's calendar, schedule meetings, and coordinate travel arrangements.
  • Prepare and edit correspondence, presentations, reports, and other documents.
  • Act as a key liaison between the executive, internal teams, and external stakeholders.
  • Organize and coordinate meetings, including agendas, minutes, and follow-up action items.
  • Handle confidential and sensitive information with discretion.
  • Assist with expense reports, invoice processing, and budget tracking.
  • Support event planning, such as leadership retreats, company meetings, and special projects.

Project Coordination & Operational Support

  • Assist in coordinating business initiatives and internal projects as assigned.
  • Maintain project timelines, track deliverables, and provide status updates.
  • Support cross-functional collaboration by helping with documentation, scheduling, and follow-ups.
  • Identify process improvements to streamline administrative workflows.
  • Provide research and data collection to support decision-making.
  • General Office & Business Operations

  • Ensure smooth day-to-day operations by managing administrative processes efficiently.
  • Help prepare materials for board meetings, executive briefings, and presentations.
  • Work closely with HR, IT, and Finance teams to support executive needs.
  • Assist in maintaining digital records, files, and databases for easy access.
  • SKILLS AND QUALIFICATIONS :

  • Bachelor's degree preferred in Business Administration, Communications, or a related field.
  • 5 years of experience as an Executive Assistant, Administrative Coordinator, or similar role.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication skills, both written and verbal.
  • Highly organized with strong time management and multitasking abilities.
  • Ability to handle sensitive information with discretion and professionalism.
  • Detail-oriented with a proactive approach to problem-solving.
  • Comfortable working in a fast-paced, dynamic environment.
  • Familiarity with expense management systems and basic budgeting is a plus.
  • Experience with project coordination or business operations is a plus.
  • Knowledge of event planning, vendor coordination, or travel logistics is beneficial.
