Henderson Family Office (HFO) is seeking a detail-oriented, proactive, and tech-savvy Office & Accounting Administrative Assistant to support our operations. Key Responsibilities:
- Manage special projects, including filing annual reports, beneficial ownership filings, and reviewing TRIM notices/property taxes.
- Track and coordinate insurance policies, ensuring timely renewals, endorsements, approvals, and payments.
- Handle daily mail, including sorting, saving, and communicating relevant information to necessary parties.
- Process check deposits and send invoices to tenants.
- Retrieve and organize monthly financial statements from banks.
- Calculate and file sales tax accurately and on time.
- Maintain and update tenant certificates of insurance.
- Manage the real estate module, ensuring all data and records are up to date.
- Oversee office supply ordering to ensure the team has the necessary resources.
- Coordinate team birthdays and assist with booking team events.
Qualifications & Skills:
- Exceptional organizational skills with strong attention to detail.
- Ability to develop and follow efficient processes.
- Strong technology skills, including proficiency in Microsoft Office and the ability to learn new software.
- Ability to multitask and manage multiple priorities effectively.
- Excellent communication and coordination skills when working with internal and external parties.
- Experience in administrative, accounting, or property management roles is a plus.
