Responsibilities
- Provide an exceptional patient experience by ensuring that patients are scheduled properly and in a timely fashion.
- Understand dental procedures and dental terminology for proper scheduling and treatment coordination.
- Prepare, maintain and monitor schedules for multiple providers. This will include filling cancelled/rescheduled appointments and ensuring that the schedule is full using the capacity guidelines outlined by your supervisor.
- Schedule and confirm patient appointments, including transportation and interpreter appointments as needed.
- Coordinate daily schedule according to necessary treatment needs/available treatment times.
- Answer incoming calls to include: new patient calls, emergencies, requesting records, and follow up care.
- Provide excellent customer service 100% of the time.
- Determine the type of service caller is seeking.
- Manage large amounts of inbound and outbound calls in a timely manner
- Collect/verify patient information
- Maintain proper phone etiquette and follow communication "scripts" when handling different topics
- Possess knowledge of the sliding fee scale: this includes accurately informing all callers, with or without insurance, of the sliding fee scale and what is required for acceptable proof of income to apply
- Verify dental patient insurance information in coordination with the billing department
- Collect full and complete insurance information from the caller utilizing the appropriate forms
- Understand insurance benefits to effectively inform patients of basic dental benefits
- Be able to estimate dental fees for copay and treatment charges
- Verify patient address, phone number, and potential need for updating annual registration paperwork
- Verify eligibility for a 6-month checkup (recall) prior to scheduling that type of appointment
- Work closely with clinical staff and other front office staff to assure smooth flow of patient care
- Responsible for meeting monthly targets as assigned
- Maintain patient privacy per HIPAA regulations
- Ensure proper processing of prior authorization to insurance carriers for specialty dental services
- Other duties as assigned by supervisor
Requirements
Qualifications
- High school diploma or GED
- Electronic Health Records and Practice Management Systems experience preferred
- Dental office experience preferred, billing experience is a plus
- Experience in Microsoft Windows/Office programs, specifically Microsoft Word and Excel
- Ability to demonstrate accuracy and thoroughness ensuring the highest possible quality
- Ability to maintain a strong work ethic without direct supervision at all times
- Effective oral and written communication
- Ability to make timely, informed decisions that take into account the facts, goals, constraints, and risks related to all aspects of the organization
- Strong phone and verbal communication skills along with excellent active listening abilities
- Customer service oriented and able to communicate with a pleasant demeanor at all times.
