The Group Sales and Events Manager will be responsible for obtaining, organizing, and overseeing groups such as weddings, corporate retreats, leisure groups, incentive groups, and on-property functions. The ideal candidate is highly organized, has a hospitality mindset, and possesses the skills to perform the essential job responsibilities below. This position does not have any supervisory responsibilities.
The business hours of this role are Monday – Friday, 9AM – 5PM, except when events are scheduled.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Acts as the primary contact for all corporate and leisure group planners
- Coordinate all group details including room blocks, activities, meals, meetings & special requests
- Oversee and approve the deposits, payments, and postings made by the Group Coordinator
- Review and approve final bills before mailing out to clients
- Produce, update, and maintain resumes, rooming lists, transportation manifests, and activity lists
- Communicate group requirements to all operational staff
- Conduct weekly Group meetings to ensure all departments are aware of group activities and requests
- Greet groups upon arrival and act as primary contact throughout their stay
- Posts deposits and payments
- Researches final bills and provides backups for disputed items
- Work with Marketing to build materials needed to close the business
- Solicit feedback from group contacts and share with the property
- Sell group activities and special services
- Create and maintain group policy and information manual
- Handle telephone solicitation & personal sales calls to potential customers and repeat group planners
- Conduct site inspections. Book and confirm all departments involved with the site tour
- Write and negotiate group proposals and contracts
- Block requested meeting spaces for both team meetings and group meetings
- Responsible for typing contracts and communicating them promptly
- Promote High Hampton as a meeting destination and wedding destination through trade shows and sales calls
- Attend trade shows and handle pre-show mailings and post-show follow-up
- Generate leads for new group business
- Attend weekly meetings with the General Manager to review revenue generated through group rooms and F&B.
- Run weekly group reports for Yield Meeting
- Produce reports and maintain a tracking system for group prospective business, group marketing efforts, proposals, contract revenue, and ADR
Must comply with all company policies and procedures.
To perform the essential functions of this position, regular and consistent attendance is required.
Must work well with other Team Members and managers and interact with our guests.
SUPERVISORY RESPONSIBILITIES

EDUCATION and/or EXPERIENCE
- College degree or equivalent experience in group sales or service preferred
- Hospitality industry experience is required
LANGUAGE SKILLS
- Excellent verbal and written communication skills
- Ability to positively and enthusiastically present and “sell” High Hampton as a meeting destination and provide exceptional group service
MATHEMATICAL SKILLS
- Basic mathematical skills required for reporting, statistics, and budgets
REASONING ABILITY
- Must be able to make good judgment calls in regard to sales and customer requests
- Must be able to accomplish tasks promptly and handle constant interruptions
PHYSICAL DEMANDS
- 50% computer and phone work
- 50% on-site with groups during conferences/events
- Must be familiar with Microsoft Windows, Word, Excel, PowerPoint, and Outlook
- Experience with hospitality software preferred
- Must be able to safely operate a company vehicle or golf cart
WORK ENVIRONMENT
- General office
- 1,500 acres of High Hampton
