The Workman School of Dental Medicine is seeking a collaborative, task-oriented, and well-rounded Academic Coordinator to join our newly expanding CARE team at High Point University’s Workman School of Dental Medicine. This role is essential in supporting the academic operations of the educational programing ensuring smooth functioning of our day-to-day operations. You will work closely with faculty, staff and learners to aid in scheduling, logistics, and support housing of content/documents, along with ensuring smooth communication between all stakeholders.
QUALIFICATIONS:
Education
Bachelor’s degree in business administration, education, healthcare administration, human resources management, or related field.
Experience and Training
- Minimum of 2 years of experience in scheduling, logistics, or organizational management.
- Preferred experience in academic administration, ideally in higher education.
- Driven by task-oriented daily operations.
Knowledge, Skills, Ability:
- Proven track record of organizational skills and attention to detail.
- Excellent computer skills-data management and proficiency in scheduling software.
- Extensive working proficiency in MS Office Suite and/or academic scheduling and management software.
- Ability to work both independently and collaboratively as a team.
- Demonstrated ability with written communication for reporting, drafting announcements/communications, and updated faculty, staff, and learners on changes.
- Flexibility and Adaptability in a start-up model environment.
- Familiarity with dental or healthcare education is a plus
- Excellent communication skills and ability to build interpersonal relationships across different constituencies.
ESSENTIAL FUNCTIONS:
- Support Daily Activities: Serve as a liaison by assisting faculty, staff, and students in their daily activities, providing support and troubleshooting as needed as pertains to schedules, content retrieval, etc. Proctor knowledge assessments and assist with running other assessments.
- Scheduling and Logistics: Build, organize, and coordinate the complex schedules of faculty and learners via One45 Software and Outlook to ensure all classes, labs, and events run smoothly—include academic timetables, room reservations, and university-level scheduling.
- LMS Organization and Management: Oversee the organization, workflows, and management of the school's Learning Management System-Blackboard Ultra to provide a seamless continuity between faculty content and learner experience. Your role will include contacting faculty to submit materials that are loaded via a centralized system.
- Project and Time Management: Ability to manage complex schedules, prioritize tasks, and meet predetermined deadlines. Utilizing Excel, Planner, OneNote, SharePoint, and Outlook.
- Manage Academic Records: Logging attendance, student grades, and organizing student data to ensure academic excellence.
- Import and Manage Evaluation Documents & Rubrics: Work closely with members of Education Operations Team and faculty to import, organize and store course and session evaluations & rubrics into systems (e.g. Microsoft Form, Acuity).
- Communication: Ensure smooth communication between all parties involved, including faculty, students, and administrative staff via Outlook, TEAMs, and Zoom. Work collaboratively with other administrative staff to ensure effective communication and coordination across units.
ACCOUNTABILITY:
- Evaluation: Ongoing performance reviews is conducted along with an annual assessment by Manager of Education Programs/Manager of Education Technology and input from the faculty and students.
