High Point University is currently seeking an PALS Support Specialist and Office Manager, Academic Services. This position will perform a wide range of administrative and office support activities for the department and/or Directors to facilitate the efficient operation of the Office of Academic Services.

Education: Bachelor’s degree required. Post-secondary education in business, computers, or office management is an asset.

ESSENTIAL FUNCTIONS FOR PEER ASSISTED LEARNING SERVICES (PALS)
- Provide weekly assistance with payroll for 150 PALS peer tutors, including time approvals, weekly reminders, submitting hours, checking regulations, missed Workday punches, administering 20 hours per week/4 hours per day work schedule, and changing tutor times per request of tutor
- Creating Tutor display signs for table placement
- Scheduling and cancelling tutor appointments when Director is out-of-office
- Assisting with tutor training
- Following up with new tutors
- Following up with students who are missing tutoring appointments
- Creating and maintaining PALS walk-in schedule
- Incorporating Departmental Learning Lab hours into walk-in schedule
- Optimizing turnaround time from tutor request submission to appointment creation
- Partnering with other departments
- Utilize Penji scheduling system
- Increasing SI leader training opportunities
- Creating content and maintaining 4th floor display monitor
- Assist with tutor training and provide increased opportunities for peer tutors to attend training sessions
- Assist the Director of PALS with organizing a Tutor Training Retreat at the beginning of the Academic Year
- Reviewing tutor observation rubric
- Assist with PALS peer tutor observations as part of CRLA certification process
- Increasing tutor engagement
- Revising Tutor Orientation video
- Assist Director with CRLA certification renewal in 2026
- Analyzing tutor reports
- Creating and distributing additional online tutor training content
- Assist the Director of PALS with assessing PALS assessment program, SI Leader courses, and retention rates
- Requesting assessment data from Registrar or other departmental considerations
- Analyzing data for historical perspective, evidence of program growth, and predicting future needs and peer tutor staffing
- Presenting data to campus stakeholders
- Staying updated on peer tutoring best practice
- WordPress training
- Assist with Admissions events such as Open House (Fall Semester) and Freshman Orientation (Spring Semester)
ESSENTIAL FUNCTIONS FOR ALL AREAS IN THE OFFICE OF ACADEMIC SERVICES
- Provide phone coverage for the Senior Director of Academic Services and other personnel, as needed. Takes messages or fields/answers all routine and non-routine questions.
- Maintains office supply inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting order for supplies; verifying receipt of supplies.
- Greet students/visitors to the Office of Academic Services in a professional and friendly manner.
- Use computer word processing, spreadsheets, and other relevant software to prepare reports, memos, and documents.
- Sort incoming mail, faxes, and mail deliveries.
- Provide secretarial and administrative support to Directors and other staff.
- Make travel, meetings, and other arrangements for staff for conferences and other professional development opportunities
- Provides support for students, staff, faculty, and visitors by answering questions and requests.
- Processes Class Attendance Notices including email dissemination.
- Processes and emails ‘Academic Program Notification Change’ requests.
- Complete and process requisitions and purchase orders as requested for the department.
- Make referrals to other University services/offices as appropriate (Registrar’s Office; Student/Residence Life; Counseling & Psychological Services; Academic Affairs/Deans, academic advisor).
- Assist and support the programs of the Office of Academic Services and other duties as assigned and appropriate to the position and service to the University.
ACCOUNTABILITY
Reports to Director of PALS (primary) and Senior Director for Academic Services (secondary).
