Position Summary:
We are seeking an Administrative Assistant to join our team at Higher Love. This role requires a meticulous and highly organized individual that will work hand in hand with a variety of departments as assigned. The ability to multi-task will be vital and expected tasks may include, but are not limited to organization efforts, attention to detail about multiple scopes of office maintenance, and extensive experience in record-keeping, record retention, and maintaining processes & procedures. This position will include administrative tasks, maintaining well-organized records, and continuous enhancement of our record-keeping processes. The Administrative Assistant has a passion for streamlining systems and will continuously focus on improving efficiency. They will have clear, concise documentation and excellent written and verbal communication skills.
Responsibilities (including, but not limited to):
Record Keeping & Retention:
- Maintain and organize both physical and digital documents in accordance with company policies and legal requirements.
- Ensure procedures are properly documented, versioned, and stored for easy access.
- Ensure records are appropriately categorized, archived, and retained based on legal and organizational retention schedules.
- Regularly audit and update records to ensure accuracy, completeness, and compliance with retention standards.
- Respond to requests for record retrieval in a timely and organized manner.
Administrative Support:
- Provide general administrative assistance to department heads, managers, and team members.
- Prepare, proofread, and edit documents, correspondence, and reports to ensure clarity, consistency, and accuracy.
- Organize and maintain office filing systems for both physical and electronic documents.
- Coordinate and monitor office supplies, ensuring necessary items are stocked and readily available.
- Assist in maintaining efficient office procedures, improving workflow, and enhancing organizational effectiveness.
Qualifications/Requirements:
- Proven experience as an Administrative Assistant, Office Assistant, or in a similar administrative role for at least three (3) years.
- Exceptional attention to detail with a strong commitment to accuracy and organization.
- Demonstrated experience in record management and retention, including compliance with relevant laws and regulations.
- Strong writing, editing, and proofreading skills, with a focus on creating clear and concise documentation.
- Strong organizational and time management skills, with the ability to prioritize and meet deadlines.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and basic office equipment.
- Excellent verbal and written communication skills.
- Strong problem-solving skills and a proactive approach to task management and improvement.
- Ability to work both independently and collaboratively within a team.
Education and Experience Required:
- Bachelor's degree in business management or related field preferred
- 3 years of progressive administrative experience.
