Higher Recruitment on behalf of a global manufacturing client is seeking a dynamic and highly skilled Executive Assistant to support the Executive Vice President and Americas Region Head in driving strategic initiatives, managing executive-level tasks, and preparing high-impact materials for presentations and Board meetings. This role requires a proactive, organized, and detail-oriented professional with exceptional communication and strategic thinking skills. The ideal candidate will act as a trusted partner, ensuring the Executive Vice President can focus on leading the organization effectively across the Americas Region.
Key Responsibilities
Administrative and Operational Support
- Manage the Executive Vice President’s calendar, schedule meetings, and prioritize conflicting demands to ensure optimal time management.
- Coordinate complex travel arrangements, including flights, accommodations, transportation, and detailed itineraries.
- Handle correspondence on behalf of the Executive Vice President, including drafting, proofreading, and responding to emails and other communications.
- Organize and maintain files, records, and confidential documents.
Meeting and Event Coordination
Prepare agendas, compile meeting materials, and ensure the Executive Vice President is well-prepared for all engagements.Take accurate meeting minutes and track action items to ensure follow-through.Plan and coordinate executive-level events, conferences, and off-site meetings.Communication and Liaison
Serve as the primary point of contact between the Executive Vice President and internal / external stakeholders, maintaining professionalism and discretion.Build and maintain strong relationships with Board members, investors, clients, and other key partners.Strategic Support
Assist the Executive Vice President in developing and executing strategic initiatives, including tracking progress and following up on key deliverables.Conduct research and analysis to support decision-making and strategy formulation.Prepare high-quality presentations, reports, and other materials for Board meetings, investor presentations, and internal communications.Collaborate with cross-functional teams to gather insights and information for strategic projects.Project Management
Support the Executive Vice President in managing key projects by tracking timelines, milestones, and deliverables.Act as a liaison between the Executive Vice President and other stakeholders to ensure alignment and clear communication.Assist in the creation of dashboards, trackers, and other tools to monitor progress on key initiatives.Compliance and Confidentiality
Ensure strict adherence to confidentiality protocols, particularly concerning sensitive business information.Support the Executive Vice President in compliance-related tasks and initiatives, including tracking adherence to internal policies.Additional Duties
Assist with personal tasks as required, ensuring seamless management of professional and personal commitments.Handle ad hoc requests and special projects, demonstrating flexibility and initiative.Identify opportunities for process improvement and efficiency in the Executive Vice President’s workflow.Qualifications and Skills
Education and Experience
Bachelor’s degree in Business Administration, Communications, or a related fieldMinimum of 3 years of experience as an Executive Assistant supporting senior executives, preferably in a multinational or corporate setting.Core Competencies
