Key Duties and Responsibilities
- Oversee the day-to-day operations of the dental office, ensuring smooth workflow and efficient use of resources.
- Manage patient scheduling, ensuring timely appointments and smooth transitions between appointments.
- Handle patient inquiries, complaints, and concerns professionally and promptly.
- Supervise, train, and support clinical and administrative staff.
- Ensure that staff members adhere to office policies and protocols.
- Conduct performance evaluations and provide feedback for professional development.
- Schedule staff shifts to ensure adequate coverage during office hours.
- Review and approve timesheets and time off requests
- Ensure a positive and welcoming atmosphere for patients.
- Assist in handling patient registration, insurance verification, and billing inquiries.
- Resolve any patient concerns or issues with a solution-oriented approach.
- Oversee billing and insurance verification processes, ensuring accurate claims submission.
- Coordinate with insurance companies to resolve claims and payments.
- Maintain accurate financial records and monitor office financial performance.
- Assist Revenue Cycle department to ensure maximized reimbursement is achieved.
- Manage office inventory, ensuring that dental and office supplies are stocked and ordered as needed.
- In coordination with homebase, ensure the office is compliant with all relevant health and safety regulations, including OSHA and HIPAA.
- Maintain up-to-date patient records and ensure proper documentation and confidentiality.
- Assist in the preparation of reports and other office documentation as required.
- Support the implementation of office policies, procedures, and patient care protocols.
- 2 to 3 years of experience in a dental office or medical office management position, with a focus on administrative duties.
- High school diploma or equivalent required; associate or bachelor’s degree in healthcare administration or related field preferred.
- Knowledge of dental terminology, insurance processes, and dental office software preferred.
- Practice Management Software experience (ex. WINOMS, DSN, OMSVision)
- Strong leadership and organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent interpersonal and communication skills, both written and verbal.
- Ability to maintain a professional demeanor in high-pressure situations.
- Strong attention to detail and commitment to patient confidentiality.
