Overview
We are seeking a dynamic and organized Administrative Assistant/HR/Activities Director to oversee and coordinate engaging programs and become apart of our management team here at Highland. The ideal candidate will possess strong leadership skills, excellent time management abilities, and a passion for helping others. This role requires a proactive individual who can effectively manage multiple tasks while ensuring high levels of customer support and satisfaction.
Position information:
Monday through Friday (10am-4pm)
(Hours may vary due to events scheduled)
Responsibilities
- Answer telephone, route calls appropriately and take proper messages (ie: name, return phone number and reason for call)
- Greet visitors and offer hospitality (ie: take coats, show to resident location, offer beverages)
- Help visitors exit. Thank them for coming.
- Organize and keep stocked all filing and storage areas. Set up, label and cleanout.
- File documents in archives alphabetically and by year of current or past residency.
- Keep inventory of office supplies and make purchase order as necessary for replacements.
- Assist in keeping office, reception areas neat and tidy.
- Keep calendar of important appointments and upcoming events.
- Restock employment documents for new hires and admission documents for new residents.
- Assist as needed in preparing for admissions and discharges of residents.
- Assist as needed with preparations for orientations of new hires, in-services and trainings.
- Assist with scheduling pre-employment screenings, testing, interviewing and reference checks.
- Assist with mailings including, invitations to special events and memorial services, thank you cards, get well cards, sympathy cards and newsletters.
- Assist with setting up and labeling of new resident care kits, wheelchairs and walkers.
- Assist with keeping up absences and employee vacation records.
- Assist with completing work requests for maintenance.
- Distribute incoming and outgoing mail.
- Keep up Resident Registry with admits and discharges.
- Keep Respite/Daycare sign in sheets available and monitored.
- Provide administrative support to the Healthcare Administrator and owner as needed.
- Monitor visitor restroom for cleanliness and stocking.
- Any additional duties associated with a business office as assigned by the Administrator.
- Scheduling staff and creating a calendar for activities department.
- Managing activities including setting up dates for live music, church service and other activity attractions.
- Provide materials as needed in activities department.
- Complete and process payroll while managing employee timesheets.
- Attend QAPI meetings with management team.
- Seasonal and event decorating throughout the year.
