We are seeking a skilled Office Manager to join our team at Highmark Companies. As an integral part of our operations, you will play a vital role in ensuring the smooth functioning of our workplace.
Responsibilities
Your key responsibilities will include:
IT Tasks: Implementing computer systems, providing technical training, maintaining computer inventory logs, procuring new equipment, administering email accounts, resolving technical issues, coordinating with external IT services.
Data Entry Tasks: Establishing job data, generating invoices, updating change orders and purchase orders, managing scorecards.
General Building Management: Overseeing daily operations, conducting routine inspections, addressing maintenance, safety, or security concerns, scheduling maintenance services, arranging for repairs and replacements.
Shipping & Receiving Coordination:
- Inspecting and recording received shipments
- Loading and unloading shipments using a forklift
- Resolving discrepancies or issues with received goods
- Scheduling pickups and deliveries with shipping carriers
Vehicle Management: Maintaining fleet tracking records, organizing vehicle files, acquiring new vehicles, controlling budgets.
General Office Management: Supervising office supplies, printers, phone systems, maintaining shop, entryways, and receiving areas, visiting other sites, covering the front desk.
Qualifications
To succeed in this role, you should have:
- 2-3 years of administrative experience
- Knowledge of the construction industry
- Intermediate-level proficiency in computers, including Microsoft Excel, Outlook, etc.
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
