Job Summary: The Construction Office Assistant provides administrative support to the construction team by performing office tasks such as document management, scheduling, data entry, and communication coordination. This position plays a key role in maintaining the smooth operation of the office and ensuring that projects stay on track by managing clerical tasks effectively.
Key Responsibilities
- Answering phone calls, taking messages, and directing calls to the appropriate department or individual.
- Managing and organizing office files, contracts, and project documentation.
- Assisting with data entry and maintaining accurate records for ongoing construction projects.
- Coordinating with vendors, subcontractors, and suppliers to ensure timely delivery of materials and services.
- Preparing and reviewing construction-related documents, including contracts, permits, and work orders.
- Ensuring compliance with safety regulations and documentation.
- Assisting in managing client relations by responding to inquiries, updating project status, and providing information as needed.
- Managing office supplies and ordering materials as necessary.
- Keeping the office space organized and ensuring it meets the operational needs of the construction team.
Qualifications:
- Bilingual, Spanish and English
- Previous experience in an office assistant role or construction office environment is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational skills and the ability to multitask in a fast-paced environment.
- Excellent verbal and written communication skills.
- Basic understanding of construction terminology and processes is a plus.
- Ability to maintain confidentiality and handle sensitive information.
Physical Requirements:
- Ability to sit for long periods of time and perform desk work.
- Occasional lifting of office supplies or documents (up to 25 lbs).
