Our Administrative Assistants provide tremendous support to the Accounting and Human Resource departments by providing essential support with the day-to-day functions of each department to ensure efficiency and quality.
Primary Functions for this position include:
- Supporting various departments of the organization, including, but not limited to, Accounting and Human Resources
- Ensuring that all required information is effectively communicated between departments
- Effectively documenting and filing all required information for each project in assigned departments
· Accounts Receivable:
- Preparing customer invoices
- Applying customer payments
- Communicating with Sales department regarding invoices and payments
- Preparing bank deposits
- Processing company payroll
- Completing new customer set up forms via paper or electronic forms
Accounts Payable:
- Ensure timely disbursement of funds
- Match invoiced to receiving documents
- Post invoices into computer system
- Generate accounts payable checks
- Research vendor statements, phone calls and discrepancies
- Coordinate new vendor set up
Human Resources:
- Assisting with the recruiting, onboarding, benefits administration, and offboarding processes in Human Resources
- Contacting job applicants and scheduling interviews
- Managing the front desk, answering phones, ensuring visitors are checking in according to policy and notifying employees of the visitors’ arrival
- Maintaining physical and electronic files, databases

Associates Degree in Accounting, Business or a related field; or 5 years work experience in a related field
