HILL CITY COMMUNITY CHURCH: Office Manager
Position Type: Part-Time Paid (3 office days a week / 18-24 Hrs hrs/week)Reports To: Lead Pastor
Salary: $18,000 a Year
Purpose:
The Office Manager shall oversee and manage the administrative and operational functions of Hill City Community Church. The Office Manager's daily workload may fluctuate depending on the needs of the church and the specific tasks and responsibilities assigned to them.
Key Responsibilities:
- Answer church phone calls Monday through Friday from 9 – 4pm (expectation being that messages are answered within 24 hours)
- Answer church general email inbox (expectation being that messages are answered within 48 hours)
- Oversee the transfer of funds into various accounts
- Onboard new employees and make sure all HR paperwork is filled correctly and filed.
- Oversee PTO for all employees.
- Monitor and complete all weekly timesheets for non-ordained employees.
- Keep cloud storage organized
- Write checks when needed (bills, misc. expenses)
- Weekly financial reports on all accounts completed by Monday at 4:00pm
- Oversee the Ramp Credit Card system, Truist banking accounts, and petty cash.
- Ensure you receive all financial reports from IFR and check for accuracy.
- Produce end of the year giving statements and disseminate as needed.
- Oversee and report tithe and offering from electronic, check, and cash each week
- Assist the Executive Staff with daily needs and requests
- Assist the Pastoral team with daily needs and requests
- Assist Pastor James with daily needs and requests
- Review, monitor, and manage budgets and project future financial numbers by collecting, interpreting, and reviewing financial information
- Serve as the church’s primary contact with IFR
- Get mail and open all mail that is related to the church and the Elder Team.
- Give keys to guests who are seeking to enter and leave the facility for major events.
- Book any room requests
- Manage HC3’s master calendar
- Ensure rooms are ready for events (set-up, clean, etc.)
- Manage Elder’s schedules
- Send out reminder emails for attendees who have signed up for classes (membership, baptism, etc.)
- Create systems to help the office run more efficiently when needed
- Help with special events like Leadership Retreats, conferences, etc. (ordering food, scheduling speakers, etc.)
Attend weekly meetings as needed (For example Executive Leadership Meeting)
Collaboration:
- Attend and contribute to Executive Team meetings and Sunday worship gatherings as needed.
- Serve as a key liaison between the Executive Staff and other church ministries fostering unity and shared purpose.
Modeling Discipleship:
- Embody the habits of a disciple by maintaining a lifestyle of prayer, Scripture reading, CG membership, DNA group participation, giving, and Sunday worship attendance.
- Actively participate in the life of the church, demonstrating a commitment to HC3’s mission and values.
Core Competencies and Needs:
- Must be pleasant, discreet, tactful, and capable of honoring confidential communication
- Must have a working knowledge of Google Workspace
- Must have general knowledge of all office equipment and supplies and a willingness to further their training
- Must show a willing attitude of Christian service to their position and its responsibility
- Must possess good communication skills
- Must be able to deal with various types of personalities, both on the phone and in person, in a professional manner
- Perform general office work, under the supervision of the Elder Team and Executive Staff
