Position Overview
As our new Certified Public Accountant (CPA) – Office Director, you will lead and mentor a team of accountants and tax preparers. Your responsibilities will extend beyond traditional accounting tasks: you will collaborate with our in-house Certified financial planner(CFP) to identify additional services (e.g., retirement planning, insurance coverage, investment strategies) that can benefit our clients. Mastery of QuickBooks (Desktop & Online) and CCH Wolters Kluwer—including advanced configuration and optimization—is crucial.
Key Responsibilities1. Office Leadership & Growth
- Strategic Direction: Oversee day-to-day office operations, ensuring that our firm’s standards of quality and service are maintained.
- Firm Expansion: Work with senior leadership to implement strategies that broaden our reach in both domestic and international markets, focusing on high net-worth clientele.
2. Team Supervision & Development
- Staff Management: Work with a team of professional accountants and train the Jr tax professionals, fostering a culture of continuous improvement and collaboration.
- Performance Evaluation: Conduct regular reviews, provide actionable feedback, and design career development pathways for your team members.
3. Tax Responsibilities
- Complex Tax Filings: Oversee the preparation and review of personal, corporate, and partnership returns, including specialized forms like Form 1120 and Form 5472 for foreign owners.
- National & Multi-State Compliance: Maintain awareness of federal, state, and national tax regulations; ensure timely and accurate filing for clients
- Tax Planning & Advisory: Advise clients on strategies to minimize tax liabilities, leveraging cross-border insights and up-to-date regulatory knowledge.
4. Accounting & Bookkeeping Processes
- Monthly/Quarterly Close: Supervise the bookkeeping team to ensure accurate posting of transactions, timely reconciliations (bank, credit card, etc.), and proper month-end or quarter-end close processes.
- Financial Statements: Ensure the preparation of detailed financial statements (balance sheets, income statements, cash flow statements) and any required customized reports for business owners or investors.
- Adjusting Entries & Compliance: Review and post adjusting journal entries; verify compliance with GAAP standards and relevant state/federal regulations.
5. Software Configuration & Optimization
- CCH Axcess Wolters Kluwer:
- Tax Preparation: Serve as the primary tool for corporate, partnership, and individual tax returns.
- Time Tracking & Billing: Oversee and optimize how the team tracks billable hours, ensuring accurate client billing and efficient workflow.
- System Customization: Implement best practices and advanced configurations to improve workflow, collaboration, and data security.
- QuickBooks Desktop & Online:
- Bookkeeping Oversight: Manage and review bookkeeping processes, with a focus on QuickBooks Desktopfor the majority of clients and QuickBooks Online for a smaller subset.
- Advanced Setup: Configure multi-currency, payroll, bank feeds, inventory management, and integrated applications as needed.
- Process Improvements: Identify and implement strategies to streamline data entry, reconciliation, and reporting within QuickBooks platforms.
6. Financial Advisory Synergy
- Cross-Selling Financial Services: Recognize situations where accounting clients can benefit from our financial planning partner’s services—such as investment planning, insurance coverage, or retirement strategies.
- Client Education: Communicate foundational financial planning concepts to clients and make strategic referrals to our in-house financial planner.
7. Client Relationship Management
- Client Consultation: Act as a key point of contact for high-profile clients, ensuring top-tier service and customized solutions for complex needs.
- Business Development: Identify new opportunities for engagement among international and high net-worth individuals; actively participate in networking and client acquisition efforts.
8. Regulatory Compliance & Quality Control
- Audit Readiness: Maintain thorough documentation, ensuring all financial statements and tax returns are audit-ready.
- Policy Enforcement: Uphold firm-wide policies and procedures; maintain a commitment to the highest ethical and professional standards.
Required Qualifications
- Active CPA License in Florida (or eligibility to obtain)
- 7 years of experience in personal, corporate, and partnership tax, including complex international tax scenarios
- Demonstrated Expertise in advanced configuration and optimization of CCH Wolters Kluwer (tax filing, time tracking) and QuickBooks (Desktop & Online)
- Strong Understanding of financial planning principles (e.g., investments, insurance, retirement planning)
- Proven Leadership Experience guiding and developing a team
- Excellent Communication Skills in English; Spanish proficiency is a plus
- Organizational Mastery to handle multiple priorities, projects, and deadlines
