The CSU Court Coordinator and Medical Records Clerk is an Administrative Support Professional who serves an essential role in the CSU mission to provide person-centered, short-term inpatient psychiatric treatment services for people in crisis. Under the direction of the Facility Director, the person in this position works with CSU staff and providers as well as crisis workers, law enforcement, the mental health court system, community hospital staff, individuals in treatment, and families/visitors/vendors.
You will get to:
- Court Coordinator: Reviews court commitment documents for accuracy. Collects applications and medical certificates from prescribers, notarizes documents, and files commitment documents with the court. Works with county court staff, county attorney, magistrates, and county judge on the scheduling and management of the court hearing and court commitment process. Works with attorneys to provide medical record information and to facilitate attorney/client visits.
- Medical Records Clerk: Processes CSU medical records requests in compliance with agency policy, procedure, and HIPAA. This includes the processing of medical records requests, the provision of records, and the documentation associated with this process. Completes chart audits to ensure completion and accuracy of the record. Maintains the master medical record at discharge. Assists with preparation of medical records for storage. Completes data entry to include documentation of record requests, admissions, discharges, referrals, census reports, tracking of court hearings, and other administrative documents. Retrieves medical record history/documents from various databases to include CARE, Netsmart, XFERALL, and other programs. Prepares and distributes discharge packets and/or medical record packets in a timely manner for the continuity of care process. Faxes, mails, electronically submits outgoing information, and scans documents into the electronic record.
Qualifications
You’ll definitely need:
- High School Diploma / GED
- Two (2) years’ experience in duties related to the position.
- One semester (15 semester hours) of college work may substitute for each six- (6) months of experience.
- A valid Texas State Driver’s License.
- Current automobile insurance and the ability to travel when necessary.
We’ll also want you to:
- Use the electronic health record and electronic referral process to respond to and coordinate referrals for services at admission and upon discharge.
- Answers phones, take and relay messages, assist with visitors, vendors, and other members of the community who may call or visit the CSU.
- Manages the daily census including accurate documentation and distribution of admissions, court hearings, referral sources, medical record #/DOB, and other information.
- Purchases bus tickets to assist with the discharge process.
- Work a flexible schedule including backup coverage on evenings and weekends.
- Have excellent customer service skills.
- Have excellent computer skills.
