Scope :
Responding to guest inquiries and verification of charges as needed.
Primary Responsibilities :
Ø Responding to guest inquiries and sending requested information.
Ø Researching and responding to credit card charge backs and retrievals within specified time frame.
Ø Maintaining inquiry logs and charge back files.
Ø Verification of charges to the banquet event orders.
Ø Final billing of one day accounts to credit cards.
Ø Answer phone and e-mail quest billing inquiries
Ø Guest Folio reconciliation
Ø Gift cards inquiries : redemption, replacement, and tracking
Ø Chargebacks, credit cards disputes, unverified credits
Ø Sorting, filing and pulling tickets.
Ø Posting of charges, credits and payments.
Ø Preparing final invoice for mailing.
Note : Other duties as assigned by supervisor or management
Relationships :
Internal : All Employees : To ensure all invoices are paid in a timely manner.
External : Guest : Respond to guest inquiries about billing.
Qualifications :
Education / Experience : High School graduate or general education degree (GED); college level Accounting classes or equivalent; Accounting degree a plus; 2 years Accounting or related field experience.
Certification and / or License Requirement : None.
Skills : Math Skills.
Attention to detail.
Working Conditions :
Will be required to work nights, weekends and holidays.
Will be required to work in fast paced environment.
May be asked to work overtime.

Accounts Receivable Clerk

The major responsibility in this position is collect invoices to pay all vendors. Therefore a significant portion of the workday is spent in front of the computer, speaking, listening and analyzing, using the ten number keys usually while sitting at a desk.
A small portion of time is spent moving around the hotel in order to collect data or speak with staff or guests. Communication skills are necessary for interacting with other hotel departments, staff or guests. Lifting, pulling or carrying items weighing up to 40 pounds can occur a portion of the time if handling change or filing reports. Reading and writing abilities are used often in reviewing and compiling the daily reports.
The person in this position spends some time utilizing problem solving and reasoning abilities. Mathematical skills, including basic math, basic accounting, percentages and variances are used a large portion of the time.
