Job Overview:
We are seeking an Administrative Assistant with strong skills in data entry, vendor communication, and project administration. In this role, you will handle various administrative and operational tasks, including creating shipping labels, managing vendor relationships, uploading content, and supporting office operations. This position requires a self-starter who is capable of working independently and maintaining a high level of accuracy and organization in a fast-paced environment.
Key Responsibilities:
Shipping and Order Fulfillment:
- Shipping Labels: Accurately create and manage shipping labels for customer orders and returns. Ensure correct tracking information is entered into the system and customers are notified promptly.
- Order Processing: Assist in the order fulfillment process, ensuring timely and accurate processing of customer shipments.
Vendor Communications:
- Communicate with vendors such as Walmart and Sam's Club to manage inventory, track order statuses, and resolve any supply chain issues.
- Maintain positive relationships with suppliers to ensure accurate product deliveries and timely responses to inquiries.
- Assist in obtaining quotes, tracking shipments, and troubleshooting any vendor-related concerns.
Data Entry & Content Management:
- Accurately input and maintain product data, inventory, and customer information in internal databases and CRM systems.
- Upload content to the website, including product descriptions, images, and promotional materials. Ensure content is up to date and accurately reflects available inventory.
- Assist in creating and managing reports related to sales, inventory, and customer trends using Excel.
Office & Project Administration:
- Provide general administrative support across the organization, including scheduling meetings, preparing documents, and managing internal communications.
- Assist with project coordination, ensuring deadlines are met, tasks are prioritized, and team members are aligned on objectives.
- Track and manage office supplies, equipment, and facilities to maintain a smooth operational flow.
Organizational & Operational Support:
- Maintain and organize important documents, files, and records for easy access by team members.
- Create and maintain accurate records of vendor and client communications, order details, and product information.
- Help coordinate meetings and company events, ensuring all logistical needs are handled efficiently.
Additional Responsibilities:
- Proactively identify and suggest process improvements, especially in areas like data entry, content uploading, and order fulfillment.
- Support with customer service tasks, such as addressing customer inquiries related to orders, inventory, or shipping.
Desired Experience & Qualifications:
Experience:
- 1-3 years of administrative, data entry, or office operations experience, with a focus on logistics, shipping, or vendor management.
- Experience using shipping software and tools (e.g., ShipStation, Stamps.com) is a plus.
Technical Skills:
- Proficient in Microsoft Excel, including pivot tables, VLOOKUP, and formulas.
- Experience with e-commerce platforms (e.g., Shopify, WooCommerce) and basic content management systems (CMS) for uploading product content is highly desirable.
- Familiarity with CRM systems and inventory management tools is a plus.
Communication Skills:
- Strong written and verbal communication skills to engage effectively with vendors, clients, and team members.
- Professional phone etiquette and customer-facing communication experience.
Organizational Skills:
- Excellent attention to detail with the ability to manage multiple tasks simultaneously and prioritize effectively.
- Strong time management skills with the ability to work independently and manage your own workflow.
