A dynamic and fast-paced organization is seeking an experienced and highly discreet Executive Assistant to provide high-level administrative support to the President of a well-established organization. This individual will play a critical role in ensuring seamless operations and supporting strategic initiatives through expert coordination, communication, and organizational skills.
Responsibilities
- Provide a wide range of confidential and strategic administrative support to a senior executive.
- Manage complex and dynamic calendars, including scheduling meetings, appointments, and prioritizing time-sensitive matters.
- Coordinate internal and external meetings, ensuring all logistics are handled efficiently.
- Organize domestic and international travel arrangements, including itineraries, accommodations, and transportation.
- Prepare, process, and track invoices and expense reports in compliance with company guidelines.
- Support the preparation and formatting of reports, presentations, and spreadsheets; print and bind materials for meetings when needed.
- Plan and execute internal and external events, including catering, transportation, and venue coordination.
- Draft professional and high-quality correspondence on behalf of the executive.
- Screen incoming communications, assess priority, and manage responses with discretion.
- Proactively anticipate needs and manage recurring responsibilities independently.
- Provide occasional coverage and support for other administrative professionals as needed.
- Support general office tasks, such as managing supplies, ordering catering, and assisting with team events or morale initiatives.
Qualifications
- Bachelor’s degree preferred; 5 years of executive support or office management experience, or equivalent combination of education and experience
- Proficient in calendar management and coordinating complex meetings
- Highly responsive and professional email communication skills
- Strong proficiency in Microsoft Office Suite and Apple products
- Excellent written, verbal, and editing skills with keen attention to detail
- Exceptional organizational, multitasking, and time management abilities
- Proactive, resourceful, and able to make sound decisions independently
- Maintains composure and efficiency in fast-paced, high-pressure environments
- Demonstrated discretion with sensitive and confidential information
- Experience overseeing administrative operations and support functions
Salary range is $110,000 to $150,000/year.
Compensation is based on experience and qualifications. This role is not eligible for remote work.
