Job Description
- Perform general administrative duties, including managing files, tracking employee training, and maintaining documentation.
- Greet and assist visitors, clients, and employees traveling to the plant facility.
- Coordinate company meetings, events, and other functions.
- Prepare accommodations for guests or clients, ensuring their needs are met during visits.
- Create presentations, documents, spreadsheets, and databases to support daily operations.
- Arrange for the delivery of domestic and international packages.
- Assist with the preparation of financial reports and other related documentation.
- Place orders for routine office and kitchen supplies.
- Distribute new employee personal protective equipment (PPE), including safety boots and locker assignments.
- Manage and distribute incoming mail, invoices, and utility bills.
- Assist in tracking employee training and maintaining training records.
- Support the Purchase Order (PO) and Purchase Requisition (PR) processes in collaboration with the Procurement/Supply Chain team.
- Assist with attendance reports, townhall meetings, and employee recognition programs.
- Update the monthly Inclusion and Diversity (I&D) board and office monitors to communicate important messages to employees.
- Provide administrative support for the onboarding process of new employees or interns.
- Organize and support quarterly and annual events, such as holidays, family days, and company celebrations.
- Offer support to various departments, including Manufacturing, Health, Safety & Environment (HSE), Maintenance, Procurement, Supply Chain, and Process Engineering.
- Approve schedules, travel arrangements, and set up travel profiles as needed.
Skills Required
- Strong proficiency with the Google platform (Sheets, Slides, Docs, and Drive) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with Microsoft Dynamics AX and data processing.
- Excellent problem-solving and analytical skills for basic situations.
- Ability to multitask and prioritize effectively in a dynamic environment.
- Strong communication skills, both verbal and written.
- Attention to detail and a high level of organizational skills.
- Ability to work independently and as part of a team to meet deadlines and achieve goals.
Education/Training/Certifications
- High school diploma or GED required
