Job Summary
We are seeking a detail-oriented and proactive Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing exceptional administrative support. This position requires strong organizational skills, effective communication, and a commitment to delivering excellent customer service.

Duties

  • Greet and assist visitors in a friendly and professional manner.
  • Manage incoming calls using phone systems, ensuring proper phone etiquette.
  • Perform data entry tasks accurately and efficiently.
  • Maintain organized filing systems for documents and records.
  • Utilize Google Suite for document creation, scheduling, and communication.
  • Provide administrative support to various departments as needed.
  • Assist with customer service inquiries, addressing concerns promptly and courteously.
  • Schedule appointments and manage calendars for staff members.
  • Handle correspondence, including emails and mail distribution.
  • Support the dental receptionist with patient check-ins and appointment confirmations when necessary.

Requirements

  • Proven experience in an administrative role or similar position is preferred.
  • Strong customer service skills with the ability to interact positively with clients and colleagues.
  • Proficiency in Google Suite applications (Docs, Sheets, Calendar).
  • Familiarity with phone systems and excellent phone etiquette.
  • High level of computer literacy with the ability to learn new software quickly.
  • Exceptional time management skills to prioritize tasks effectively.
  • Strong organizational skills to maintain an orderly office environment.
  • Experience in data entry with attention to detail is essential.
  • Previous experience as a dental receptionist is a plus but not required.
