Operations and Programming Manager Job Description
The Operations and Programming Manager will work directly with the president and CEO of HCCL, coordinating daily activities and operations across multiple assets. You must adapt quickly to a dynamic environment, determining priority tasks for the CEO and efficiently handling matters. Role responsibilities wjob ill vary greatly depending on the needs of the organization and the Operations and Programming Manager should be prepared to tackle difficult tasks, manage complex schedules, and have the ability to coordinate logistics and details of events.
Responsibilities:
- Act as a liaison between the CEO, staff, and the public, handling inquiries with tact and directing calls or requests appropriately.
- Optimize and manage the CEO's schedule.
- Support the CEO in events, monthly procedures, grants, and programs.
- Collect and maintain updated data from sponsors and supporters.
- Prepare and review reports.
- Master and safeguard company systems, accounts, and confidential information.
- Execute general tasks as directed by the CEO.
- Create presentations, spreadsheets, reports, minutes, and agendas.
- Oversee program' administrative details, from registration to materials.
- Provide customer service regarding membership benefits, resources, and events.
- Attend and assist the signature events such as luncheons, trade shows, etc.
- Greet and assist visitors and perform other duties as needed.
Minimum Qualifications:
- Bachelor’s degree in business administration or public administration preferred.
- Bilingual: Fluent in English and intermediate proficiency in Spanish (both written and spoken).
- Mastery of MS Office Suite and Apple software; familiarity with Zoho preferred.
- Strong communication and interpersonal skills.
- Ability to work independently and collaboratively.
- Adaptable, detail-oriented, and able to work under pressure.
- Knowledge of business etiquette and protocol.
Physical Requirements:
- Ability to perform essential functions with or without accommodations.
- Light lifting and prolonged sitting or stationary periods.
- Extensive computer usage.
Essential Duties:
- Manage Sponsor and members in the database and files.
- Develop materials like spreadsheets, kits, resource packages, reports, long text and event handouts.
Details:
- Job Type: Full-time, 9 am to 5 pm.
- Schedule: Monday to Friday. Occasional weekends or evenings for events.
- Experience:
- Data Entry, Customer Service, Graphic Design: 1 year (Preferred)
- Administrative Assistant: 1 year (Required)
- Education: Bachelor’s degree (Required)
- Language: Spanish (Preferred), English (Required).
