What are the responsibilities and job description for the Advancement Assistant position at Historic New England?
Historic New England seeks a detail-oriented and dynamic Advancement Assistant to provide high-level administrative support to our development team, ensuring smooth operation of Historic New England’s fundraising programs. The Advancement Assistant provides internal and external customer service and efficient support of daily advancement office activities to help the fundraising team achieve its fundraising goals.
ESSENTIAL FUNCTIONS:
- Drafts, prints, and mails written materials, including acknowledgement letters, membership cards, and other individual constituent communications with attention to accuracy and institutional standards.
- Assists with print and digital development marketing materials as needed.
- Provides development event assistance including assembling gift bags and creating email invitations and communications.
- Assists at events, including the annual gala, ensuring excellent customer service.
- Provides administrative support to the Director of Development Operations and other members of the development team.
- Performs data entry in constituent database, generating and distribution of reports, arranging of schedules, and maintaining of office supplies.

QUALIFICATIONS:

- Degree or equivalent combination of skilled credentials.
Competencies
- Exceptional organizational skills with the ability to manage multiple projects simultaneously, adapting to change and balancing priorities with precision and flexibility.
- Excellent writing, editing, and proofreading skills; familiarity with the Chicago Manual of Style.
- Excellent analytical and problem-solving skills with the ability to interact diplomatically and communicate effectively verbally and in writing.
- Excellent project management and time management skills.
- Adept at handling complex and confidential information with professionalism and discretion.
- Fully competent computer and technical skills, with a preference for experience with constituent management databases, and advanced working knowledge of MS Office Suite.
- Must be a team player with the ability to work independently.
- Valid driver’s license and means of transportation.
- Fully competent technology skills, with advanced working knowledge of Microsoft 360 applications and Outlook e-mail and calendar management.
- Ability to operate effectively in a team environment, where communication within and among departments is essential to success.
- Deep understanding of team approach and an objectiveness and respect for diverse perspectives and skillsets.
- Valid driver’s license and means of transportation.

Preferred Competencies
- Experienced working knowledge of constituent management databases (Tessitura or comparable).
