This position will provide administrative support to the team by creating and updating AP documents, creating journal entries, organizing documents, ensuring electrical code compliance, and communicating with other departments.

This role will support our Utility Electrical Engineering and Design teams by ensuring accurate management, organization, and distribution of engineering capital and maintenance project documentation. The ideal candidate will have experience with document control processes in an industrial or engineering environment and strong electrical technical proficiency. This position will provide administrative support to the team by creating and updating AP documents, creating journal entries, organizing documents, ensuring electrical code compliance, and communicating with other departments.
Key Responsibilities
- Execute document management processes for UT capital and maintenance projects
- Receive, review, electronically file, and distribute electrical engineering and maintenance records
- Send and receive transmittals of fabrication/engineering records to and from vendors
- Track and report document and drawing review status
- Prepare, maintain, and distribute team action item lists and meeting minutes
- Maintain project document index and ensure compliance with document retention policies
- Submit documents for internal review and approval, ensuring compliance with project standards
- Interpret drawing redline markups and revision blocks; seek clarification from project stakeholders when necessary
- Work closely with drafting teams, engineers, and design partners to verify document accuracy
- Follow company best practices and industry standards for document control
- Accurately track time spent on projects and report on document control progress
- Ensure compliance with NFPA 70E and all state/local inspection requirements on MV and LV electrical equipment
- Create and prepare AP documents in invoice processing system and ERP for approval
- Create and submit Electronic Approvals (EA’s) for PPE and office supplies. Manage invoices and purchase orders
- Prepare and update weekly all reports required for utility team
- 2 years of experience in document control for EPC (Engineering, Procurement, and Construction) or Owner/Operator projects
- Bachelor’s Degree in Electrical Engineering preferred
- Proficiency in document editing and review tools such as Bluebeam and Adobe Acrobat Pro
- Advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint)
- Strong attention to detail and ability to manage large volumes of documentation
- Ability to multitask and manage multiple projects simultaneously
- Strong problem-solving and analytical skills with a proactive approach
- Ability to work effectively in a multidisciplinary team environment
- Experience with engineering, architectural, and construction documentation (e.g., maps, drawings, technical specifications)
- Knowledge of industry document control standards and best practices
- Experience with engineering change management processes
- Familiarity with document control software and enterprise resource planning (ERP) systems
- Ability to adapt to changing priorities in a fast-paced manufacturing and engineering environment
- Proficient in Microsoft Office suite, especially Excel
- Proficiency in written and verbal Korean preferred
- Must be able to work in industrial environments using appropriate PPE for industry
- Willingness to work occasional off-shift hours or be on-call as required
