WHO WE ARE
We are HL Property Management, HL General Constructions and HL Dynasty Real Estate. We are looking for an Experienced Administrative Assistant. This is a fast-paced position where you will wear many hats and learn the multi-faceted nuances with the team. There are rooms to growth for individual that striving to succeed.

RESPONSIBILITIES:
Assisting each manager with a variety of tasks which include but are not limited to:

  • Answering phones & directing customers and clients to the appropriate parties
  • When picking up the phone, always be courteous. If tenants call with complaints, handle the phones with courtesy and forward them to the proper person.
  • Always wear presentable and professional attire.
  • Managing office files for filing electronically and physically, storage and shredding
  • Upon receiving mail, sort it, stamp it, and deliver it to the appropriate department or individual
  • Prepare the envelope, attach the stamp, and mail it
  • Maintaining and updating files, excel sheets and word documents
  • Purchasing office supplies, keeping track of inventory, and managing supplies
  • Organizing and scheduling appointments and take detailed minutes when required
  • Supporting several departments with scheduling, phone calls, and creating flyers or announcements, etc.
  • Assisting President and Controller with special project
  • Managing President's email and schedule
  • Maintaining a tidy and orderly workplace
  • Providing assistance with various tasks as needed

QUALIFICATIONS:

  • Administrative Assistant: 2 years (Preferred)
  • Proficiency with Ms. Word, Excel, Power Point, Adobe Write and Read, DocuSign
  • Knowledge Appfolio software (Preferred but not required)
  • Strong proficiency with creating and maintaining spreadsheets & databases

Office hours: 9:00 AM-6:00 PM

Job Type: Full-time

Pay: $37,500.00 - $48,000.00 per year
