HLC Fabrication is seeking an organized and proactive Office Manager to oversee the daily administrative operations of our steel fabrication shop. The Office Manager will play a vital role in ensuring smooth office functioning, managing financial and clerical tasks, coordinating with shop personnel, and maintaining excellent communication with clients and vendors. This position requires exceptional multitasking skills, attention to detail, and the ability to thrive in a fast-paced, industrial environment.

- Administrative Management: Supervise daily office operations, including scheduling, correspondence, and filing systems. Manage incoming and outgoing communications, such as emails, calls, and mail.
- Financial Oversight: Process invoices, purchase orders, and accounts payable/receivable.
- Human Resources Support: Coordinate onboarding for new hires and maintain employee records. Manage timecards, attendance records, and employee schedules. Ensure compliance with workplace regulations and safety standards. Partner with engineers, project managers, fabricators, and contractors for clarity and accuracy in designs.
- Customer & Vendor Relations: Serve as the primary point of contact for clients and vendors. Schedule meetings, maintain project timelines, and track order status. Address client inquiries, provide updates, and ensure timely issue resolution.
- Operational Coordination: Collaborate with shop supervisors and project managers to ensure project alignment. Order and manage office and shop supplies, ensuring stock levels are maintained.
- Technology & Records Management: Maintain accurate records of contracts, project documents, and financial data. Utilize software tools for scheduling, document management, and communication.
- Experience: Experience of office management or administrative experience, preferably in a construction, manufacturing, or steel fabrication setting.
- Education: Associate’s degree in Business Administration, Management, or a related field is preferred. Equivalent experience will be considered.
- Software Proficiency: Microsoft Office Suite and QuickBooks or similar software.
