What are the responsibilities and job description for the Client Service Representative - Bilingual (Spanish/English) position at Hodes Veterinary Group?
We are looking for CSRs to join our busy front desk team. Our front desk team are the first face to greet our clients, and we are looking for outgoing individuals who want to help ensure a positive visit for clients and patients alike. Our front desk staff are responsible for answering phones and scheduling appointments, as well as a long list of ancillary tasks. To be successful as a front desk team member for our practice, you should have a desire to help and be self-motivated to optimize the flow at the desk for our clients and our doctors. Multitasking and stress management skills are essential for this position. An ability to triage and prioritize without losing sight of the big picture is important. Ultimately, our front desk duties are to represent the practice in a positive way, and help ensure a quality experience for our clients. We treat our clients like family, and we work hard to keep their pets healthy and happy. We have a lot of Spanish speaking clients and would love to have a confident Spanish speaker on the team to help them!
Responsibilities
- Greet clients and pets in a prompt, courteous and helpful manner
- Ensure work and reception area is kept clean and professional at all times
- Check in patients, verify and update necessary information in the patient record
- Ensure intake form are filled out for surgical patients
- Notify doctor/technician of any potential emergency appointment
- Assist client at time of euthanasia by rooming patient, preparing paperwork, and taking payment
- Check out patients, total invoices, and receive/post payment
- Understand the application and processing of Care Credit
- Schedule and confirm appointments
- Answer phone calls and relay information to the appropriate party
- Bring up food and carry out for clients as needed
- File charts and update pulled files for next day
- Reminder calls to clients
- Fill prescriptions as needed following hospital guidelines
- Fax and email as needed
- Create new files and input their information into Cornerstone
- All other tasks as assigned
Skills
- Proven work experience as a Receptionist, Front Office Representative or similar role
- Proficiency in Microsoft Office Suite is a plus
- Hands-on experience with office equipment (e.g. fax machines and printers)
- Professional attitude and appearance
- Solid written and verbal communication skills
- Solid math skills to calculate invoices
- Ability to be resourceful and proactive when issues arise

- High school degree/GED
