What are the responsibilities and job description for the Sales Administrator position at Hoekstra Truck Equipment?
The Sales Administrator will perform all administrative tasks associated with the sales process. They will provide support for the sales team, Sales Manager and Operations Manager. This support will include processing new orders and vehicles upon arrival as well as closing orders and processing vehicles upon completion. They will assist with the work and document flow throughout the entire sales and production process. The Sales Administrator will provide valuable support allowing for continued company growth.
Essential Functions
- Process paperwork & key flow on incoming vehicles and make proper notifications.
- Process paperwork & key flow on completed orders and make proper notifications
- Greet and assist customers in person, on the phone and over e-mail.
- Update pool spreadsheets with new vehicle arrivals and job-related details.
- Fulfill document requests.
- Assist reception locating keys, printing/locating paperwork, posting invoices.
- Process prepays and deposits.
- Track and monitor status and lead time of products and vehicles to make proper notifications.
- Format and update dates in Proceed.
- Update spreadsheets on SharePoint.
- Track and allocate freight expenses.
- Process warranty.
- Enter new vehicle information into Work Truck Cert.
- Create completed vehicle certification, modified cargo and modified seating capacity documents.
- Update vehicle status with Ford.
- Create Second-Stage Manufacturers Statement of Origin documents.
- Work with the sales team to schedule pick-up and deliveries of new and completed units.
- Create and submit orders for transportation services.
- Work with freight carriers to schedule inbound and outbound loads.
- Monitor chase vehicle mileage and coordinate with maintenance.
- Update transportation spreadsheet.
- Approve transportation invoices for payment.
