Job Summary

Answers inquiries and provides information to the general public, customers, visitors, and other interested parties regarding activities conducted at establishment and location of departments, offices, and employees within the organization.

Essential Duties and Responsibilities

  • Operates a telephone switchboard to answer, screen, or forward calls, providing information, taking messages, or scheduling appointments
  • Greets persons entering establishment, determine nature and purpose of visit, and direct or escort them to specific destinations
  • Schedules appointments and maintain and update appointment calendars
  • Hears and resolves complaints from customers or the public
  • Files and maintains records
  • Performs administrative support tasks, such as proofreading, transcribing handwritten information, or operating calculators or computers to work with pay records, invoices, balance sheets, or other documents
  • Transmits information or documents to customers, using computer, mail, or facsimile machine
  • Analyzes data to determine answers to questions from customers or members of the public
  • Collects, sorts, distributes, or prepares mail, messages, or courier deliveries
  • Provides information about establishment, such as location of departments or offices, employees within the organization, or services provided
  • Processes and prepares memos, correspondence, or other documents
  • Keeps a current record of staff members' whereabouts and availability
  • Takes orders for merchandise or materials and send them to the proper departments to be filled
  • Schedules space or equipment for special programs and prepare lists of participants

Requirements

  • High school diploma or GED required
  • 1 years administrative support
  • Expected to adhere to company policies and guidelines including but not limited to the company’s attendance and tardiness policy.
  • Excellent communication skills, both verbal and written
  • Strong organizational skills with great attention to detail
  • Excellent customer service and phone etiquette skills
  • Proficient in Word, Excel and Outlook
