What are the responsibilities and job description for the Group Rooms Manager position at Holiday Inn Grand Rapids Downtown?
The Group Rooms Manager primary responsibility is to coordinate group arrival and departure. This includes verification of reservations, online bookings and rooming lists. Provide ongoing communication between the client, the hotel, and the sales office ensuring all operational standards are met including brand standards and overall guest satisfaction.
- GRM will be required to be onsite and available for all large group arrival/departure times to maximize group accuracy and maintain an exceptional level of guest service for all guests.
- Assists with Corporate Sales in loading and maintenance of all Locally Negotiate Rate programs
- Assists with all Group Sales in maintaining group inventory within the Property Management System in accordance with hotel policies
- Assists with Catering Sales in finalizing all billing for Banquet Event Orders
- Acts as the primary point of contact for contracted group rooms prior to arrival and throughout the groups stay
- Assist in other areas of the Sales and Front Office as need.
- Reviews weekly Group Pick Up report and makes requested updates
- Reviews weekly cut off report and makes requested updates
- Reservation Cancellation Report processing
- Maintains a complete knowledge of area competitors for rates, services, and availability
- Completes Monthly reporting including but not limited to Market Segmentation, STR Report, Revenue Management Reports. All end of month reporting to be completed by timeline outlined by manager
- Handles group reservation inquiries via phone, email, fax, or mail as need

- Communicates with all departments regarding in house VIP’s and any special needs
- Maintains a thorough knowledge of all Holiday Inn Grand Rapids Downtown outlets, amenities, and special events.
- Solicits guest and client feedback
- Follows Holiday Inn Grand Rapids Downtown’s Environmental Commitment and disposes of waste and recycling according to standards.
The Group Rooms Manager role is a full time, salaried position and is required to participate in the Manager on Duty rotating schedule. The GRM schedule can be variable based on group arrivals.
