As a key member of the hotel team, the Front Desk Agent plays a crucial role in shaping the guest experience. This position involves more than just administrative tasks; the Front Desk Agent is the first point of contact for guests, setting the tone for their stay. You will need to be knowledgeable about the hotel's brand standards, guest expectations, and the local area to provide the best service.
The Front Desk Agent's daily responsibilities include warmly welcoming guests and ensuring a smooth check-in and check-out process. You will handle confidential guest information, such as records, with the utmost integrity and professionalism. Additionally, you will answer and route calls, emails, and in-person inquiries, ensuring all messages are accurately taken. The role also requires responsibility for cash drawer transactions during your shift.
You will maintain accurate records using the hotel's property management system (PMS) and address guest requests and complaints promptly and effectively. Maintaining a neat, clean, and orderly lobby area is also part of your duties. Your role will involve managing multiple tasks, such as guest interactions, phone calls, and administrative duties, while maintaining a positive impression at the front desk.
In terms of guest engagement, you will need to address any inquiries and ensure that their needs are met. Seeking guest feedback is essential to identifying areas for improvement, and you will relay compliments and suggestions to the team. You will be responsible for managing reservations, cancellations, and room assignments to optimize occupancy and ensure billing and reservation accuracy.
In collaboration with housekeeping, maintenance, and other departments, you will ensure smooth operations across the hotel. You will be required to find solutions to guest issues, handle complaints tactfully, and escalate complex issues to the appropriate supervisor when needed.
Performance in this role will be assessed based on your ability to complete essential functions and responsibilities in a timely manner, your problem-solving skills, and your ability to communicate effectively with colleagues. Your punctuality and adherence to the attendance policy, along with your understanding and execution of processes and procedures, will also be evaluated. Guest service scores, particularly regarding loyalty recognition and overall arrival experience, will serve as key metrics for your performance.
Qualifications for the position include a high school diploma or GED, proficiency in Microsoft Office programs, and availability to work evening shifts, including weekends and holidays.
This role is integral to the hotel's daily operations, and the Front Desk Agent's performance will have a significant impact on guest satisfaction and the hotel's success.
