The Holiday Inn Westbury is seeking a highly motivated and professional Front Desk Associate to join our team. The ideal candidate will be responsible for providing exceptional service to our guests by assisting them promptly, courteously, and efficiently with all front office-related functions. This role requires a candidate who can consistently uphold our high standards of service and professionalism while maintaining a warm, welcoming, and guest-focused attitude at all times.

Applicants should possess a friendly, approachable demeanor, along with a positive attitude, exceptional interpersonal skills, and an energetic personality.

Prior experience with IHG properties and familiarity with the OPERA PMS system is advantageous but not required. We are committed to training the right candidate who demonstrates motivation, responsibility, and a strong eagerness to learn and grow within the hospitality industry. No prior experience is necessary, but a genuine desire to contribute and develop in the field is essential.

Responsibilities for Front Desk Associate:

  • Guest Services: Advise guests on all hotel services, features, accommodations, and amenities to enhance their stay. Ensure guests are aware of hotel offerings, local attractions, and any special promotions or packages.
  • Guest Needs and Issue Resolution: Understand guest needs and expectations, and address any concerns or issues promptly and professionally. Resolve guest complaints efficiently and in a timely manner to ensure complete guest satisfaction.
  • Check-in & Check-out: Perform guest check-ins and check-outs in a knowledgeable and proficient manner, ensuring accuracy and efficiency. Handle walk-in guests professionally, assign rooms based on specific requests, and ensure room availability.
  • Coordination with Departments: Communicate with the Housekeeping and Maintenance Departments regarding VIP and group arrivals, ensuring readiness and timely service.
  • Phone Etiquette & Call Routing: Answer phone calls promptly using proper hotel greeting and etiquette. Route calls to the appropriate departments or personnel while maintaining a professional and friendly tone.
  • Payment Processing: Collect payments for all charges, maintain an accurate cash drawer, process credit card payments, and handle direct billing. Be knowledgeable about hotel credit, cash-in-advance, and check-cashing procedures.
  • Discounts & Voucher Applications: Understand and apply qualified discounts and vouchers, ensuring they are correctly processed during guest transactions.
  • General Front Desk Support: Respond to basic Front Office inquiries, provide guests with essential information, and assist with any requests to enhance their stay.
  • Office Equipment Operation: Demonstrate basic knowledge of office equipment such as printers, copiers, and the Property Management System (PMS) to support day-to-day operations.
  • Message Handling: Receive, document, and deliver clear and professional messages for guests. Offer assistance as needed and ensure messages are communicated accurately.
  • Mail, Packages, and Faxes: Properly accept, handle, and deliver guest mail, packages, and faxes in a timely and secure manner.
  • Wake-up Calls: Confirm, record, and deliver wake-up calls to guests, ensuring accurate and timely delivery.
  • Daily Checklists: Complete job-specific checklists on a daily basis to ensure all tasks and responsibilities are fulfilled.
  • Shift Communication: Communicate pertinent shift information to Supervisors/Managers and team members both verbally and in writing via the logbook. Ensure updates are made as necessary for seamless operation between shifts.

This comprehensive set of responsibilities ensures that Front Desk Associates contribute to the smooth operation of the hotel while maintaining the highest standards of service and guest satisfaction.

Must have a flexible schedule as this is a 24/7 Business.
