Responsibilities
- Greet clients and visitors warmly, maintaining a professional and welcoming atmosphere
- Answer incoming calls and provide accurate information or direct inquiries as needed
- Manage front desk operations, including scheduling appointments and coordinating meetings
- Conduct client intake interviews, ensuring thorough documentation of client information
- Assist in managing incoming and outgoing correspondence, including mail and emails
- Collaborate with the team to support client matters and provide administrative assistance
- Work with marketing to collaborate on outbound sales tactics and partnerships with other law firms in order to help bring in new cases
- Screen incoming potential client phone calls to make sure the case falls within the scope of the firm, while helping the caller feel heard and understood
- Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload
- Collect paperwork and enter data into our case management system to ensure a smooth onboarding for new clients and tidy management of case files
- Perform miscellaneous clerical tasks as needed, including transcription, research, spreadsheet management, and email writing to ensure operational efficiency
Qualifications
- Personal Injury/Medical Malpractice intake experience required
- Experience with Lead Docket and/or Filevine a plus. Will train
- Excellent Bi-lingual English/Spanish verbal and written communication skills required
- Associate or bachelor’s degree preferred. Experience in lieu will be considered.
- Strong interpersonal and organizational skills with attention to detail, a must
- Tech savvy and proficiency in Microsoft Office Suite and able to learn new software quickly

- Previous experience with CRM and case management software desired
- Customer service or sales experience a plus
- Possesses outstanding communication skills and sense of empathy
- Previous legal experience highly valued
- High school diploma or equivalent needed, while a Bachelor’s degree is desired
Compensation
$45,000 - $50,000 yearly
