HR ASSISTANT
The HR Assistant is responsible for supporting the HR Department by assisting with various HR-related projects and administrative tasks. This role includes assisting with recruitment efforts, conducting employee onboarding and orientation, and ensuring the smooth operation of HR functions across the organization.
ESSENTIAL JOB FUNCTIONS
A) Provide administrative support to the HR Department for various HR-related functions.
B) Manage and update spreadsheets (employee directory, termed employees, clinic locations, safety training, etc.) and lists (MVR’s, Paging, Email, EE Directory, etc.).
C) Print and track resumes/applications in the Applicant Tracking System and provide them to the HR team for further processing.
D) Assist with pre-screening applicants and complete the pre-hire/new hire/onboarding process, including:
a. Setting up pre-employment drug screen and physical appointments.
b. Creating necessary employee files.
c. Sending out new hire boxes.
d. Coordinating airport pickups/drop-offs for new employees.
E) Act as a backup for recruitment efforts, including assisting with interviews and managing the applicant process when needed.
F) Conduct employee orientation and onboarding, ensuring all necessary documents and training are completed for new hires.
G) Complete HR filing and maintain employee personnel files (including CDL driver files).
H) Track and report AA/EEOC data and assist with compliance reporting.
I) Update employee calendars for birthdays, anniversaries, and DOT physicals, and send out relevant cards or gifts.
J) Coordinate employee travel and maintain ongoing supplies of orientation, insurance, and safety forms.
K) Process employee information changes (address, phone, taxes, etc.) and terminations.
L) Coordinate the weekly vacation schedule.
M) Maintain the Employee Directory, Phone List, and send updated lists to the team.
QUALIFICATIONS
A) Minimum 1-3 years of administrative or HR-related experience preferred.
B) Valid driver’s license with an insurance-acceptable driving record.
REQUIRED ABILITIES
A) Excellent communication skills and strong customer service capabilities.
B) Ability to efficiently prioritize multiple tasks and meet deadlines.
C) Strong working knowledge of MS Office (Outlook, Word, Excel, PowerPoint).
D) Ability to make quick, accurate decisions in fast-paced environments.
E) Ability to manage and direct HR-related projects and processes.
ENVIRONMENTAL CONDITIONS OF THE WORKPLACE
A) Work at the Corporate Office in a controlled office environment.
B) Work at other locations determined by the HR Manager.
C) Occasional exposure to outdoor elements when performing errands, mail runs, or similar tasks.
