A Brief Overview
Under direct supervision, responsible for performing general clerical and receptionist duties in accordance with established policies and procedures. Performs additional related duties.
What you will do
- Answers phone, schedules patient appointments in strict adherence to physician schedule, keeps abreast of physicians overall routine schedule in order to contact physician with messages when he / she is not in the office. Assures that all messages are completed in accordance with established policy and distributed appropriately.
- Acts as receptionist for the physician when he or she has office hours.
- Greets patients.
- Obtains completed registration forms for each new patient.
- Updates demographic profile at each patient visit.
- Collects payment for services rendered at the time of appointment.
- Processes requests for patient medical records and / or patient information during office sessions (i.e., patient records, diagnostic test results, other healthcare facilities).
- Reschedules patient appointments as needed (i.e., physician unavailable, delay in appointment schedule, cancellation of physician session).
- Responsible for daily assessment of patient superbills.
- Activate and de-activate phone service at the beginning and end of clinic session.
- Responsible for reviewing the physician on-call schedule with the phone service at the end of clinical hours (i.e., Monday - Friday and weekend hours).
- Responsible for delivery of messages to staff throughout the day.
- Review and / or update patient insurance information.
- For managed care patients, follows established protocols for necessary authorizations from the patient for scheduled office visit.
- Obtains pre-authorization for various procedures ordered by the physician for individual patients, schedules the patient for the service.
- Checks superbills for diagnosis, x-rays if taken, procedure codes and physician signature, and collects co-payments when applicable.
- Distributes correspondence and patient information from patient medical records in accordance with established policies. Photocopies and processes forms.
- Opens, date stamps and distributes mail. Pulls medical record for all diagnostic test results and consults received, attaches mail to the chart for physician review. Performs follow-up required by physician when chart is returned.
- May be requested to substitute for other office personnel as trained.
- Adheres to Compliance Plan.
- Demonstrates initiative and is self-motivated.
- Any other assigned duties by physician or manager.
